Position Summary
As we expand our Operations team, we are looking for an organised operations co-ordinator to join our office in Edinburgh. This person will be responsible for ensuring the smooth and efficient day-to-day operation of Test Driven Solutions’ Edinburgh office, covering administrative, client documentation and facilities functions. This role will oversee daily office operations, employee and client onboarding activities, office facilitation and equipment, while providing administrative support to the senior leadership team and CEO.

Key Responsibilities
- Manage administrative aspects of employee onboarding and off-boarding, including equipment, assets and documentation.
- Oversee daily office operations, including supplies, equipment, and facilities management.
- Manage vendor relationships.
- Maintain an orderly, safe, and welcoming office environment that reflects our collaborative team culture
- Coordinate meeting rooms, events, office communications, and travel arrangements.
- Plan and organise team social events and employee engagement activities for the Edinburgh office
- Oversee physical security systems (access cards, keys, visitor management)
- Manage administration of client documentation, including correspondence and onboarding, ensuring accuracy and confidentiality
- Maintain accurate records aligned with document control requirements.
- Maintain and update ISMS documentation and records, support internal/external ISO 27001 audits, and help ensure office practices (access control, visitor logs, confidentiality) meet information security requirements
- Provide diary management and scheduling support for the CEO, including prioritising and coordinating meeting requests
- Book and coordinate executive travel arrangements (flights, accommodation, itineraries), including handling changes at short notice
- Draft and manage correspondence on behalf of the CEO, exercising discretion with sensitive or confidential material
- Act as cover for the Personal Assistant to the CEO during periods of leave, maintaining continuity of diary and administrative support
Qualifications
- Proven experience in office management or office co-ordination
- Experience with employment documentation
- Strong organisational, communication, and multitasking skills
- Familiarity with UK employment and administrative practices is an advantage
- Experience providing PA/EA support to senior leadership, including diary and travel management, is desirable

Pay: £28,000.00-£35,000.00 per year
