We are The Home Building & Surveying Company based in Boscombe, Dorset. We specialise in damp proofing, wall coatings and building remedial works. We have an extensive network across the UK and carry out projects ranging from small domestic houses to larger commercial properties.
Who are we looking for?
We are looking for a Project Coordinator to help manage the day-to-day delivery of our installation and remedial projects from our Boscombe office.
This is a busy and varied role where you will act as a key link between our customers, technicians, subcontractors and office team. You will help ensure each project runs smoothly from the point of booking through to completion, making sure everyone involved has the information, materials and support they need.
You will need to be highly organised, confident communicating with different people and comfortable managing several jobs and priorities at the same time.
What are the key responsibilities?
- Coordinating live projects from the point of booking through to successful completion.
- Booking installation and remedial visits with our installation team and customers.
- Managing installation team diaries to help optimise travel, scheduling and overall efficiency.
- Supporting our technicians and installation teams, ensuring they have all the information, paperwork, materials and arrangements required to complete each job.
- Arranging and coordinating any parts, materials or additional items required for installations and remedial visits.
- Acting as a key point of contact for customers throughout their project, providing updates and ensuring they are kept informed from booking through to completion.
- Providing excellent customer service and resolving queries or issues in a professional and timely manner.
- Liaising with subcontractors and third-party trades such as scaffolders, plumbers and other contractors to arrange works and ensure they are completed at the correct stage of the project.
- Coordinating access, appointments, installation dates and any changes required during the course of a project.
- Monitoring the progress of live jobs and identifying any issues, delays or outstanding actions before they become a problem.
- Supporting remedial works and post-installation requirements, ensuring follow-up actions are arranged and completed.
- Working with technicians, customers, subcontractors and management to resolve problems quickly and keep projects moving.
- Taking and processing customer payments and following up outstanding balances where required.
- Ensuring job records, customer information and internal systems are kept accurate and up to date.
- Managing customer concerns or complaints professionally and helping to ensure a high level of customer satisfaction.
- Following up completed works and ensuring customers are happy with the finished job.
- Sending emails, letters, job information and other documentation to customers, technicians and subcontractors.
- Assisting with general customer service and answering inbound telephone calls when required.
- Supporting the wider office, administration and sales teams with general office duties during busy periods.
- Carrying out general ad hoc tasks to help with the smooth running of the business.
Is there any specific experience, skills or qualifications needed?
All the necessary training will be given on the systems and processes needed to fulfil the role, but there are some upfront skills that will be required:
- Excellent organisational skills – You will be coordinating multiple live projects at different stages and need to keep track of what needs to happen next on each one.
- Good problem-solving skills – Being able to identify issues, find practical solutions and involve the relevant people when necessary.
- Strong customer service skills – You will be dealing with customers throughout their project and must be confident providing updates, managing expectations and handling the occasional difficult situation.
- Good communication skills – You must be comfortable speaking with customers, technicians, subcontractors and colleagues and clearly communicating what is required.
- Good time and project management skills – Being able to juggle multiple jobs and tasks simultaneously, prioritise urgent matters and make sure outstanding actions are followed through.
- IT competent and confident – Experience using Word, Excel, email and different computer systems is essential.
- Attention to detail and accuracy – Making sure job information, dates, customer details, payments and documentation are correct and properly recorded.
- Commercial awareness – Being comfortable discussing outstanding payments with customers and ensuring the correct processes are followed.
- Previous experience within construction, building services, property maintenance, installations or a similar project coordination role would be beneficial, although not essential.
