We need a new member of staff to work as part of a team providing a comprehensive receptionist service to patients of Swallowfield Medical Practice. This involves assisting and directing patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective manner, as well as providing some administrative functions for colleagues and the Partners.
Shift Pattern: Monday: 09:00-17:00, Wednesday: 13:30-18:30, Thursday: 08:00-18:00, Friday: 08:30-18:00
Main Responsibilities
- Receiving and making telephone calls as required.
- Taking messages ensuring accuracy of detail and passing on promptly either verbally or electronically as appropriate.
- Printing medical records relevant to messages where required
- Making appointments using the computerised appointments system
- Booking patients in, or assisting them with the self-check in system
- Dealing with general enquiries according to standard protocols as appropriate
- Dealing with visit requests, ensuring careful recording of all relevant details
- Explaining registration requirements to new patients and those requiring temporary cover, ensuring all procedures are completed accurately.
- Printing lists of surgeries and clinics
- Ensure EMIS and Docman tasks sent to ‘reception’ are completed in a timely manner
- Monitoring clinic non-attendance figures
- Occasionally pulling and filing paper records as necessary
- Electronically filing confidential reports, test results and letters.
- Informing patients of test results
- Arranging emergency transport to A&E as necessary (ambulance)
- Advising patients of appropriate charges for private services and sales and accepting payment for these.
- Receiving death notifications, advising relevant personnel and updating RIP board
- Emailing and photocopying
- Premises:
- Tidying the waiting room, consulting rooms, reception area and common room as required
- Setting the dishwasher each evening
- Assisting locking up the building and setting the alarm
Please note, the above is not an exhaustive list of duties and you will be expected to perform different tasks that may arise within the reception and admin teams.

Due to the location of the practice, having a car is essential.
