About Us
Drake Control Systems is a growing Building Management Systems (BMS) and controls engineering company based in Salisbury. We deliver high-quality control system installations, maintenance and energy-saving solutions for commercial and industrial clients across the South of England.
We have built our reputation on technical excellence, outstanding customer service and doing what we say we'll do. We're only small, but have aspirations to grow the team over the coming years, we're looking for an exceptional Office Manager to become a key part of our future.
About the Role
This is not a typical office administration role.
We're looking for someone who wants to become the operational heartbeat of our business.
You'll work directly alongside the Director, taking ownership of the day-to-day running of the office, coordinating projects, supporting engineers, managing customer communications and ensuring everything runs smoothly behind the scenes.
Your role will allow the Managing Director to focus on engineering, customer relationships and winning new work, while you keep the business organised, efficient and moving forward.
You'll be trusted to make decisions, solve problems and take ownership rather than waiting to be told what to do.
Key Responsibilities
- Managing the day-to-day running of the office
- Acting as the first point of contact for customers by phone and email
- Coordinating engineer diaries and booking reactive works
- Keeping customers updated on job progress
- Chasing purchase orders and outstanding information
- Raising quotations, purchase orders and invoices
- Credit control and monitoring outstanding payments
- Purchasing materials and coordinating supplier deliveries
- Booking hotels, access arrangements and site requirements
- Preparing job documentation for engineers
- Maintaining project trackers and ensuring jobs progress smoothly
- Supporting compliance activities including training records, insurance, accreditation renewals and health & safety documentation
- Liaising with suppliers, customers and subcontractors
- Identifying improvements to systems and processes as the business grows
What We're Looking For
We're looking for someone who:
- Takes ownership and enjoys responsibility
- Is highly organised with excellent attention to detail
- Can confidently communicate with customers and suppliers
- Is comfortable managing multiple priorities at once
- Has excellent IT skills, including Microsoft Office
- Is proactive and enjoys solving problems
- Can work independently without constant supervision
- Has experience within an engineering, construction, service or technical business (preferred but not essential)
What Success Looks Like
Within your first year you will have become the central point of coordination for the business.
Customers will know they can rely on you for updates.
Engineers will arrive on site fully prepared.
Projects will be well organised.
The office will run efficiently, allowing the Managing Director to focus on technical engineering and growing the business.
As the company grows, there will be opportunities to develop the role further and take on increasing responsibility.
