To provide robust ownership of all aspects of administration in relation to maintenance PPM, reactive works, reporting, scheduling, and client liaison. To provide the highest standards of communications within the administration team. To promote a positive working environment. Contract Supports play a crucial role in facilitating smooth operations and maintaining strong relationships with clients and contractors

Qualifications and experience:
· Minimum of 2 years' experience within the building services or facilities management industry in a similar role.
· Demonstrated commitment to continuous personal and professional development.
· Confident communicator with excellent verbal and written communication skills, strong IT literacy, and good numerical ability.
· Professional, customer-focused, and able to build positive relationships while maintaining the highest standards of integrity.
· Self-motivated and proactive, with the confidence to work independently and use initiative.
· Well organised, with the ability to prioritise workloads and perform effectively in a fast-paced, business-critical environment.
· Committed to delivering exceptional customer service and acting as a positive ambassador for the business.
Key Responsibilities:
· Management of daily requests via the CAFM system/Help desk.
· Liaise with Contract Manager / Assistant Contract Manager for allocation of works to contractors.
· Liaise with allocated client from beginning to end, updating works, assisting with client queries, and issuing quotations on client specific web portals and our own CAFM software.
· Liaise with engineers to access full scope of work necessary and produce reports/quotations.
· Source and Order parts/materials from suppliers where necessary.
· Raise Purchase Orders for Contractors/Suppliers via CAFM system.
· Monitor contractor performance against SLA’s.
· Assisting Contract Manager with administration, filing, copying, printing, scanning, collating, and laminating of documents.
· Check schedule weekly to ensure efficient use of resources and matching skill sets to works, this will involve liaising with technical managers.
· Collate all instances of planned and reactive works that are not able to be completed and escalate to the Contract Manager / Assistant Contract Manager.
· Ensure data for monthly reports are issued to CM.
· Update WIP reports weekly for WIP meeting.
· Upkeep of shared drive site documentation.
Self-Development:
· Develop a basic understanding of financial concepts related to contracts, such as budgeting, cost analysis, and financial tracking
Office based Mon-Fri 8am-5pm
Pay: £32,000.00-£35,000.00 per year
