Job Summary
The Finance and Administration Coordinator will play a central role in supporting the effective operation of the charity. The postholder will be responsible for managing and coordinating all financial administration through Xero, overseeing administrative systems, supporting income and expenditure tracking across all funding streams, and ensuring the smooth delivery of training programmes and proposals.
The role will also coordinate external contractors and suppliers, maintain strong relationships with external stakeholders, and oversee the day-to-day management of charity facilities to ensure a safe, well-organised, and professional environment.
Responsibilities
- Finance Administration
- Maintain and manage the charity's financial records using Xero.
- Process invoices, payments, receipts, and expense claims accurately and in a timely manner.
- Monitor and reconcile bank accounts and financial transactions.
- Track income and expenditure across all charity funding streams and projects.
- Support budget monitoring and prepare financial reports for management, trustees, and funders as required.
- Assist with financial reviews.
- Ensure financial systems and records comply with charity, funding, and regulatory requirements.
- Maintain accurate records of grants, contracts, and restricted funding.
Administration and Coordination
- Manage Training departments calendars, schedules, and deadlines.
- Training and Programme Coordination set-up
- Organise, schedule, and coordinate training programmes, workshops, and events.
- Manage bookings, venues.
- Maintain records and evaluation documentation for training department
- Liaise with partners, and participants to ensure successful programme delivery.
- Contractor and Stakeholder Liaison
- Manage relationships with suppliers and external partners.
- Act as a point of contact for external stakeholders and service providers.
- Ensure contracts, invoices, and documentation are maintained appropriately.
Facilities Management
- Oversee the day-to-day management of charity facilities and office spaces.
- Coordinate maintenance, repairs, health and safety requirements, and service contracts.
- Ensure facilities are safe, accessible, and fit for purpose.
- Manage office supplies, and resources.
- Liaise with landlords, contractors as required.
Requirements
Essential Skills and Experience
- Minimum 1 year experience in finance administration, bookkeeping, or a similar role.
- Proficiency in Xero accounting software.
- Strong organisational and administrative skills with excellent attention to detail.
- Experience coordinating multiple schedules, and deadlines.
- Ability to manage confidential financial and organisational information.
- Strong communication and interpersonal skills.
- Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and Teams.
- Ability to work independently and prioritise a varied workload.
Desirable Skills and Experience
- Experience working within the charity or voluntary sector.
- Knowledge of charity finance and funding requirements.
- Experience coordinating training programmes or events.
- Understanding of facilities management with health & safety.
