About Ecoleg
Ecoleg is an ecological consultancy based in Wales, delivering specialist surveys, licensing and Ecological Clerk of Works support across rail, highways and development projects.
We work alongside contractors and larger consultancies, providing protected species surveys, vegetation clearance supervision, tree climbing inspections and ecological support on complex infrastructure projects.
Over the last two years, the business has grown significantly. As a result, many of the day-to-day operational responsibilities have been shared between the partners alongside their technical ecology work. We're now looking for someone to take ownership of these activities and help build the next stage of the business.
The Role
This is a hands-on operational role at the centre of the business.
You'll be responsible for coordinating our ecological workforce, keeping projects properly resourced, ensuring work is invoiced promptly, maintaining compliance records and helping improve the systems that support the business.
Typical responsibilities will include:
- Planning and scheduling employed and freelance ecologists across multiple projects. Matching resources to project requirements, locations and survey licences. Building and managing relationships with freelance ecologists and specialist subcontractors. Managing invoicing and helping ensure completed work is billed accurately and on time. Maintaining licence, insurance and compliance records. Acting as a day-to-day contact for clients regarding scheduling and project delivery. Supporting business improvements and developing more efficient systems and processes as the company grows.
What a Typical Week Might Look Like
No two weeks are exactly the same, but your time might be spent:
- Rearranging survey schedules following programme changes. Securing additional freelance support for upcoming projects. Liaising with clients on delivery requirements and timescales. Processing completed work for invoicing. Reviewing compliance records and licence information. Working with the partners to improve reporting, planning and operational processes.
What You'll Be Walking Into
This is a newly created position.
There's no predecessor, no established handbook and no lengthy management structure. You'll be helping define how the role develops and how the business operates as it continues to grow.
We're a small team, and priorities can change quickly. Project programmes move, survey windows shift and clients' requirements evolve. You'll need to be comfortable making decisions, solving problems and adapting when plans change.
For the right person, that's also what makes the role rewarding.
You'll have the opportunity to work closely with the partners, influence how things are done and build a role that could develop into a broader operations or business management position over time.

About You
Essential
We're less concerned about direct ecology experience and more interested in finding someone who can bring strong organisational and operational skills.
You'll ideally have:
- Experience in operations, resourcing, project coordination or supply chain management. Experience working within a fast-paced environment where priorities regularly change. Confidence managing invoicing, supplier costs and commercial administration. Strong organisational skills and the ability to balance competing demands. Experience coordinating multiple people, projects or resources simultaneously. Excellent communication skills and confidence following up actions and resolving issues. The ability to work independently within a remote-first team. A full UK driving licence.
Desirable
- Experience within ecology, environmental consultancy, construction, infrastructure or other regulated environments. Experience managing freelance or subcontractor networks. Experience with resource planning or workforce scheduling. Experience supporting project financial performance and reporting. Familiarity with project management and communication tools such as ClickUp or Slack. Experience developing processes and systems within a growing business. Strong Excel or reporting skills.
