Job Summary
We are seeking a highly organised and proactive Administrative Assistant to join our construction team for 6 months. This is an exciting opportunity for someone who enjoys working in a fast-paced environment and wants to develop their administrative skills within the construction industry.
The successful candidate will provide essential administrative support to the wider project and office teams, helping to ensure that day-to-day operations run smoothly and that important project documentation, records and communications are accurately maintained.
You will work closely with colleagues, subcontractors, suppliers, visitors and other project stakeholders, requiring excellent communication skills, a professional approach and strong attention to detail. This role would suit someone who is organised, reliable, eager to learn and confident working across multiple tasks in a busy construction environment.
Key Duties and Responsibilities
- Provide general administrative support to the project, site and office teams.
- Welcome and assist visitors, subcontractors and site personnel in a professional and courteous manner.
- Answer and direct telephone calls and respond to emails with clear and professional communication.
- Assist with the preparation, formatting and management of project documentation and correspondence.
- Maintain accurate electronic and paper-based filing systems for project and company records.
- Carry out data entry and update spreadsheets, trackers and project records using Microsoft Office.
- Assist with the preparation and distribution of meeting agendas, minutes and action trackers.
- Support the organisation of meetings, appointments and project-related events.
- Assist with the management and distribution of documents to relevant project team members and stakeholders.
- Scan, photocopy, print and archive documentation as required.
- Assist with the processing and recording of invoices, purchase orders, expenses and other financial administration.
- Support the administration of subcontractors and suppliers, including maintaining accurate records and documentation.
- Assist with tracking project information, deadlines, actions and general administrative requirements.
- Maintain office supplies and assist with general office organisation.
- Provide wider administrative support to the Project Management, Commercial and Site Teams as required.
- Carry out any other reasonable administrative duties necessary to support the successful delivery of projects.
Experience and Skills
- Previous experience in an administrative, office or customer service role.
- Experience within the construction, engineering, property or a similar project-based industry would be advantageous, but is not essential.
- Strong organisational skills and excellent attention to detail.
- Good working knowledge of Microsoft Office, particularly Word, Excel and Outlook.
- Confident using spreadsheets and maintaining accurate records.
- Excellent written and verbal communication skills.
- Professional telephone manner and the ability to communicate effectively with colleagues, subcontractors, suppliers and visitors.
- Strong typing and document preparation skills.
- Ability to manage multiple tasks and prioritise workloads effectively in a busy environment.
- A proactive, reliable and flexible approach to work.
- Ability to work independently while also contributing effectively as part of a wider team.
- Willingness to learn about construction processes, project administration and the systems used within the industry.
