About Us
We are a growing technology business specialising in hardware distribution, including 3D printers, consumables, label printers and technical products. We work with a wide range of customers, from online retailers and distributors to schools and businesses.
We are looking for a highly organised, reliable and proactive Operations & Fulfilment Coordinator to join our team. This is a key role within the business and would suit someone who enjoys taking ownership, managing multiple priorities and being at the centre of day-to-day operations.
The successful candidate will become an important part of the team, helping to ensure the office, warehouse, fulfilment and customer operations run smoothly. You will work closely with the Directors and wider team, acting as a central point of contact and helping to keep everything organised.
The Role
This position requires someone who is confident managing multiple tasks, enjoys problem-solving and can work independently. You will be responsible for the smooth running of the day-to-day operational and fulfilment activities of the business, while supporting the wider team and Director.
The ideal candidate will be someone who takes pride in their work, notices the small details, and is proactive in identifying what needs to be done before being asked.
A key part of the role will be coordinating the wider team to ensure deadlines are met across different workstreams. This will include monitoring progress, following up on outstanding tasks and ensuring work is completed within the required timescales.
Key Responsibilities
Office & Administration
- Manage the day-to-day running of the office and administrative processes
- Maintain filing systems and company records
- Assist with implementing and improving internal processes
- Coordinate meetings, schedules and general business activities
Orders & Operations
- Process customer orders accurately and efficiently
- Pick, pack and dispatch orders
- Ensure orders are completed correctly
- Maintain a clean, organised and efficient warehouse environment
- Assist with stock management, inventory checks and regular stock takes
- Monitor stock levels and highlight any issues or shortages
- Coordinate incoming and outgoing deliveries, including supplier deliveries, couriers, pallet collections and freight
- Prepare and organise palletised shipments, ensuring goods are correctly packaged, labelled and ready for collection
- Check incoming deliveries against purchase orders and report any discrepancies, shortages or damage
- Monitor delivery progress and proactively address or escalate delays or issues
- Ensure customer orders are fulfilled and delivered within required timescales
Finance & Customer Administration
- Process supplier and customer invoices
- Assist with purchase orders and supplier administration
- Maintain accurate records of invoices and payments
- Liaise with suppliers and customers regarding administrative queries
- Handle incoming customer enquiries via phone and email
- Provide excellent customer service and ensure customers receive timely responses
- Support existing customers with order queries and general assistance
- Build strong relationships with customers and help identify opportunities to improve their experience
- Liaise directly with large UK retailers and key customers regarding orders, deliveries, fulfilment requirements and operational queries
- Manage delivery information, tracking, shortages, returns and other customer issues, escalating where appropriate
Team & Business Operations
- Provide support directly to the Director across a range of business activities
- Take ownership of projects and administrative tasks as required
- Help improve efficiency across the business
- Coordinate the wider team to ensure priorities are clear and deadlines are met across all workstreams
- Monitor the progress of technical repairs and other operational work, following up with team members where deadlines are at risk
- Coordinate with engineers to ensure repairs, parts requirements and customer updates are progressed within agreed timescales
- Work closely with the Director to manage day-to-day operational priorities, resolve issues and ensure the business continues to run efficiently
- Identify operational issues and take appropriate action or escalate them to the Director when required
Skills & Experience Required
- Previous experience in administration, office management, operations or a similar role
- Excellent organisational skills with strong attention to detail
- Confident communicating with customers, suppliers and colleagues
- Strong written and verbal communication skills
- Proficient with Microsoft Office, particularly Excel, Word and Outlook
- Comfortable learning new systems and software
- Ability to work independently and use initiative
- Positive attitude with a willingness to get involved in all areas of the business
- Confident following up with colleagues and ensuring agreed tasks are completed on time
- Strong problem-solving and organisational skills, particularly in a fast-paced operational environment
- Ability to remain calm and organised when managing multiple priorities and deadlines
- Strong attention to detail when handling orders, deliveries, stock and customer requirements
Desirable Experience
- Experience using accounting software or CRM systems
- Experience coordinating logistics, courier or pallet deliveries
- Experience working with large retailers or retail supply chains
