Job Overview
We are looking for a highly organised, proactive and customer-focused Office/ Sales Coordinator to join our small wardrobe/ media unit manufacturing business.
This is a varied role supporting the day-to-day running of the office, coordinating customer enquiries and sales, and helping ensure orders move smoothly from initial enquiry through to manufacture and installation.
The successful candidate will be confident communicating with customers, suppliers and the internal production team/ workshop, have excellent attention to detail, and be comfortable managing several tasks at the same time.
Key Responsibilities
Sales & Customer Coordination
- Respond to customer enquiries by phone, email and in person.
- Provide customers with information about our wardrobe products, finishes, options and services.
- Prepare and send quotations and follow up on enquiries.
- Process sales orders and ensure all customer requirements are accurately recorded.
- Liaise with customers regarding measurements, designs, finishes, delivery dates and installation arrangements.
- Maintain regular communication with customers throughout the order process.
- Deal professionally with customer questions, issues and complaints.
- Identify opportunities for additional sales and recommend suitable products or options.
Order & Production Coordination
- Enter and maintain accurate customer and order information.
- Coordinate orders between customers, sales, production and installation teams.
- Check that orders contain all necessary information before being passed to production.
- Monitor order progress and keep customers updated on expected completion dates.
- Coordinate delivery and installation schedules.
- Follow up on outstanding orders, payments, information or approvals.
- Assist with resolving any issues that arise during manufacturing or installation.
Office Administration
- Answer incoming calls and manage general email enquiries.
- Maintain organised customer files, quotations, orders and other documentation.
- Process purchase orders and communicate with suppliers where required.
- Maintain stock and material records where necessary.
- Assist with general bookkeeping and administration.
- Keep the office and customer records organised and up to date.
- Support the business owner and wider team with day-to-day administrative tasks.
General Responsibilities
- Build and maintain positive relationships with customers, suppliers and colleagues.
- Ensure a high standard of customer service is maintained at all times.
- Work closely with the manufacturing and installation teams to ensure customers receive an efficient service.
- Help improve office, sales and order-processing procedures as the business grows.
- Maintain confidentiality of customer and company information.
- Carry out other reasonable duties required to support the business.
Skills & Experience
Essential:
- Previous experience in an office administration, sales administration, customer service or coordination role.
- Excellent organisational and time-management skills.
- Strong attention to detail and accuracy.
- Confident telephone and email communication skills.
- Good IT skills, including Microsoft Office.
- Ability to prioritise tasks and manage multiple orders simultaneously.
- Professional, friendly and helpful manner.
- Ability to work independently and take initiative.
- Good problem-solving skills.
Desirable:
- Experience within manufacturing, fitted furniture, wardrobes, kitchens, joinery, interiors or a similar industry.
- Experience preparing quotations and processing customer orders.
- Experience using CRM, stock management, accounting or order-processing software.
- Knowledge of basic measurements, materials and manufacturing processes.
- Experience coordinating deliveries or installations.
