Gemmells, a family-run pensions and financial advisory business based in the beautiful city of St Albans, is expanding its administration team and looking for a Pension Administrator (Documentation & Client Support) to support our client advisory team. This varied role combines pensions administration, document writing, copywriting, editing, proofreading and office support. Working alongside our advisers, you will help prepare high-quality client reports, meeting papers, advisory documents and correspondence, ensuring all written and numerical information is accurate, clear and professionally presented.
This is an excellent opportunity for someone with strong written and numerical skills who enjoys producing high-quality work and is looking to build a long-term career within pensions and financial services. Full training and support will be provided to help you develop your knowledge and progress within the business.
The role reports to the Office & HR Manager and includes preparing, writing, editing and proofreading client and internal documentation, assisting with research, supporting pension administration and calculations, and providing day-to-day administrative support. It is a varied position where no two days are the same.

ROLE OVERVIEW
Job Purpose
The Pension Administrator (Documentation & Client Support) will support our advisers by preparing, reviewing and maintaining professional client documentation while also assisting with pension administration and office support. The role requires someone who is equally comfortable working with words and numbers, enjoys producing accurate work and is keen to develop new skills.

ROLE PROFILE
Responsibilities include, but are not limited to:
- preparing, writing, editing and proofreading professional client and internal documentation;
- assisting advisers with the preparation of client reports, meeting papers and professional correspondence;
- administering a broad range of pension and employee benefit documentation;
- preparing and checking pension calculations and ensuring information is accurately recorded within internal systems;
- assisting with the onboarding of new clients, including maintaining accurate records and databases;
- responding to member and client enquiries in a professional and timely manner;
- carrying out research to support advisers and client work where appropriate;
- checking documents, calculations and correspondence for accuracy and consistency;
- helping ensure documents are professionally formatted and easy to understand;
- preparing and coordinating meeting agendas, meeting packs and minutes;
- formatting and password-protecting PDF documents;
- checking and coordinating mail merges and responses;
- preparing and submitting annual documentation; and
- providing general office and administrative support to the wider team.
Knowledge, Skills & Experience
- Pension knowledge or experience would be desirable but is not essential.
- Previous office or administration experience would be advantageous.
- Experience preparing professional documents, proofreading, editing or copywriting would be beneficial but is not essential.
- Excellent written English with the ability to produce clear, professional documentation.
- Comfortable working with both written information and numerical calculations.
- Excellent attention to detail and a commitment to producing accurate work.
- Good Microsoft Office skills, particularly Word and Excel.
- Strong organisational and time management skills.
- Excellent communication and interpersonal skills.
- A positive attitude, willingness to learn and an interest in developing a career within pensions and financial services.
