About the Role
Gray Healthcare is recruiting an experienced, positive and proactive Office Manager to support the effective running of our central office in Alderley Park.
This is a key role focused on ensuring that the office operates smoothly, professionally and efficiently on a daily basis. You will provide high-quality administrative, coordination and governance support across the organisation, working closely with managers and departments to ensure that systems, processes and records are accurate, organised and effective.
This role goes beyond office administration. You will play an important part in supporting office culture, employee experience, compliance, governance meetings, audit preparation and the smooth coordination of key business activities. You will be expected to work with confidentiality, accuracy and attention to detail, contributing to a culture of accountability, continuous improvement and high standards.
What You’ll Be Doing

Ensuring the office runs smoothly and effectively on a daily basis

Acting as the main point of contact for matters relating to office coordination, office culture and employee experience

Supporting training, induction and onboarding arrangements linked to the office environment

Acting as a key point of contact and support for on-site and remote managers

Overseeing office supplies and ensuring resources are available when needed

Supporting coordination with IT and internal systems where required

Providing administrative support to HR, Finance, Operations, Quality, Clinical and wider central teams

Coordinating meetings, documentation, reports, action plans and relevant papers
-
Attending key governance meetings, taking accurate minutes and supporting follow-up actions

Preparing and distributing documents for internal and external use

Supporting governance processes, audits, inspections and compliance activity

Assisting the organisation to prepare for CQC, CIW, ICB and other stakeholder audits or inspections

Working with external partners, including health and safety support, to maintain compliance for the central office

Supporting the Senior Information Risk Owner with information governance, data protection and information risk activity

Liaising with the landlord and relevant parties to support compliance with lease and office requirements

Handling confidential information appropriately and in line with GDPR and organisational policy

Completing general administrative tasks including mail, scanning, filing and telephone enquiries

Supporting accurate record keeping, clear audit trails and effective action tracking

Identifying opportunities to improve systems, processes and office efficiency

Responding to enquiries professionally, promptly and positively
What We’re Looking For
Essential

Minimum five years’ experience in an administrative, office management or coordination role
-
Experience in health and social care
-
Strong organisational, communication and interpersonal skills
-
High level of attention to detail, accuracy and follow-through

Confident user of Microsoft Office and digital systems

Experience working with internal systems, CRM systems or management systems

Ability to manage multiple priorities, deadlines and competing tasks

Ability to handle confidential and sensitive information professionally

Good understanding of GDPR and information governance responsibilities

Strong problem-solving skills and the ability to respond proactively to unexpected issues

Ability to work independently while remaining an engaged and supportive team member

Methodical, organised and able to maintain clear and auditable records

Commitment to ongoing personal development and keeping up to date with policy, process and legislative changes
Desirable

Understanding of CQC, CIW, governance, compliance or audit processes
