Pinehill Surgery is a purpose built General Practice, offering medical services for around 4,500 patients.
We are currently looking to recruit an experienced, enthusiastic, and highly motivated individual to join our busy GP surgery team. You will be the first point of contact for patients, providing excellent customer service while supporting the smooth day-to-day running of the practice.
Duties and responsibilities
The responsibilities of the successful candidate may include any or all of the following:
- Greeting patients and visitors in a professional and friendly manner
- Answering incoming calls and handling patient queries efficiently
- Booking, amending, and cancelling appointments using the clinical system
- Managing incoming and outgoing correspondence (emails, letters, prescriptions)
- Processing patient registrations and maintaining accurate records
- Supporting clinicians and management with administrative tasks
- Ensuring confidentiality is maintained at all times in line with GDPR
- To maintain a professional, helpful and caring image.
- To communicate effectively with other team members, patients and carers. Recognise people’s needs for alternative methods of communication and respond accordingly.
- To receive incoming and initiate outgoing telephone calls to facilitate timely and appropriate communications with others, taking messages and dealing with queries.
- To assist with the gathering of statistics.
- Opening and distribution of post and other clerical and administrative duties as required.
- Scan all information received into the Practice onto patients’ records and assign to the appropriate clinician.
- Charging patients, the appropriate amount for private work and providing receipts.
- Extracting the required data from clinical correspondence and inputting the data into the patient’s electronic healthcare record
- Appropriate handling of safeguarding letters & reports
- Be able to prioritise tasks and work as part of a team.
Duties may be varied from time to time dependent on current and evolving Practice workload and staffing levels.
Key skills and attributes
- Previous reception or administrative experience (GP or NHS experience desirable but not essential)
- Excellent communication and interpersonal skills
- Strong organisational skills and attention to detail
- Ability to work in a fast-paced environment and remain calm under pressure
- IT literate (experience with clinical systems such as EMIS is an advantage)
- A team player with a positive and proactive attitude

- Good knowledge of Microsoft packages, including MS Excel
- Be open to training and developing new skills for current and future business requirement
We are a fairly quick paced practice, so being able to use your own initiative, work under pressure, keep to deadlines and have excellent organisational, interpersonal and communication skills, and being able to show compassion to patients are all key requirements of the role.
