Role Overview
To provide daily administrative support to the Senior Partner and Practice Manager including some PA and diary management work, whilst also assisting the wider team adhoc with day to day client servicing and back office business support. Would suit a junior candidate who is looking to develop their career and learn key skills within a friendly and dynamic practice.
Location and Hours
This is a hybrid role - 4 days a week based in the office (EC3) and 1 day WFH.
Hours - 8:30am - 5pm, Mon-Fri.
Key Duties and Responsibilities
- Providing day to day administrative support to the Senior Partner and Practice Manager including (but not limited to) task management, formulating and sending client emails, e-filing, scanning, incoming post and call management, collating data, printing and posting out key correspondence / documents as required
- Data entry and/or updating client records on Salesforce as appropriate
- Assisting with day to day client requests (of a non-technical nature) and liaising with all team members, clients and third parties in a prompt, polite and professional manner
- Handling adhoc client servicing based queries, including answering the office phone when required, and onward message handling to the appropriate team member
- Scheduling client meetings, maintaining Outlook diaries, and updating key systems and/or preparing all documents as part of the practice’s standard meeting prep processes including downloading client reports and task management
- Providing diary management support to the Senior Partner when required, and proactively managing the same especially in busy periods or during holiday absences
- Assisting the Practice Manager with adhoc non-urgent admin and client servicing based tasks including any non-technical post client meeting tasks
- Assisting with LOA based work when required, including calling providers and requesting information via the telephone, and logging and saving down data once received
- Proactively assisting with all general office based tasks as required to assist with the smooth day to day operation of the business including stationery monitoring, mailmerges, birthday cards for clients, ordering client gifts etc
- Assisting with the preparation of any straight forward paperwork or key forms necessary for client meetings
- Adhere to FCA, Anti-Money Laundering, Consumer Duty and GDPR protocols at all times
- Liaising with St. James's Place Admin Centres and wider support departments
- Using all St. James's Place and/or other CRM systems compliantly (full training to be provided)

Essential Skills
- Former PA and/or administration experience within a financial background would be advantageous but is not essential
- Must be able to work independently with a proactive ‘can do’ attitude
- Excellent written and verbal communication skills
- Strong organisational and time management skills
- Excellent attention to detail with a proactive approach to quality checking for accuracy
- Must be comfortable speaking with clients (including HNW clientele)
- Open to change with a creative approach to problem solving and feedback processes
- Able to ‘think on your feet’ and keeping calm under pressure, especially when handling conflicting work demands
- Must demonstrate an ongoing commitment to learning and self-development with a proactive willingness to learn new skills and build knowledge
- Working as part of a team and collectively focusing on practice goals and working towards key deliverables
IT / Systems
- Candidate must be I.T. proficient with key Microsoft systems including Excel, Word, Outlook and PowerPoint
- Experience using Salesforce would be highly advantageous but is not mandatory
Pay: £26,000.00-£28,000.00 per year
