You will play a key role in supporting the team, helping us manage information, coordinate activities, welcome visitors, support volunteers and keep essential systems up to date. This would suit someone who takes pride in high quality administration, enjoys working with others and can stay calm, accurate and organised in a varied role.

Job purpose: To provide high quality administrative support across Home Start Medway, helping the team to work effectively and ensuring that records, systems, communications and day to day office processes are well managed.
Reports to: Chief Executive Officer
Duties and key responsibilities
Database and website administration
- Ensuring documents and content on the Website is kept up to date.
- Updating the website – on at least a monthly basis.
Volunteer recruitment and training administration
- Maintain an ongoing list of individuals interested in volunteering.
- Complete administrative tasks related to the recruitment of volunteers, including: Application forms, references and DBS checks.
- Arrange face-to-face or online volunteer training sessions.
- Oversee and maintain up to date records of training attendance.
- On occasions attend recruitment drives or open days to promote volunteering.
- Perform other administrative jobs related to delivery and evaluation of training.
General administration
- Manage office area, answer phone calls, take referrals and look after visitors.
- Arrange events with event bookings, printing events materials, producing delegate lists, making-up packs, etc.
- Assist the team with administrative needs, diary and travel arrangements where required.
- Arrange meetings for the team and take minutes when required.
- Provide admin support for staff teams as necessary.
- Input referrals received by the service onto our database system.
- Order items from suppliers for the team as required.
- Maintain effective record keeping/filing systems for invoices and ensure that these are passed to the CEO for processing in a timely manner.
General responsibilities
- Ensure office supplies are maintained and ordered in a timely manner for the team.
- Liaise with external service providers and contractors in relation to the building and any repairs / maintenance needed.
- Input information in a timely manner onto our database system and provide support to colleagues in the team with the database system as required. (training will be provided)
- Provide the CEO with data / reports from our database to assist with the production of feedback reports for funders.
- Occasionally attend fundraising events as a representative for the organisation
- Fire Warden for the office (training will be provided)
- First Aider for the office (training will be provided)
