About the Role
We are seeking a highly organised and detail-oriented Finance Assistant to join our accounts team. This is a varied role supporting the day-to-day operation of the finance function, ensuring supplier payments, invoicing, reconciliations and reporting are completed accurately and efficiently.
The successful candidate will play a key role in maintaining financial records, managing supplier accounts, supporting credit control activities and assisting with the administration of company expenses and fleet-related costs.
Key Responsibilities
· Manage the company's invoicing system, responding to and resolving both internal and external queries.
· Process and organise bi-weekly supplier payment runs, ensuring payments are made accurately and on time.
· Administer the employee expense system and company credit card transactions.
· Generate weekly activity and performance reports to support operational efficiency and business decision-making.
· Manage credit control processes, including monitoring outstanding debts and liaising with customers regarding overdue payments.
· Reconcile bank transactions and investigate any discrepancies.
· Record supplier payments and maintain accurate supplier ledgers, ensuring accounts reconcile to supplier statements.
· Manage business rates accounts and ensure bills are processed and paid within required deadlines.
· Organise and maintain recurring fleet vehicle costs, ensuring VAT is allocated correctly.
· Collate, verify and reconcile fuel card receipts and associated expenditure.
· Import invoices from supplier portals and ensure they are correctly posted within the finance system.
· Assist with month-end procedures and provide support to the wider finance team as required.
· Maintain accurate financial records and ensure compliance with company policies and procedures.
Skills & Experience
Essential
· Strong numerical and analytical skills.
· Good working knowledge of Microsoft Excel and other Microsoft Office applications.
· Excellent attention to detail and accuracy.
· Strong organisational skills with the ability to manage multiple priorities.
· Confident communicator with the ability to deal professionally with both internal and external stakeholders.
· Ability to work independently and as part of a team.
Desirable
- Previous experience in a finance, accounts or bookkeeping role.
· Experience using accounting software such as Sage, Xero, QuickBooks or similar finance systems.
· Experience in a multi-site business environment.
