Help Shape the Future of Inverness's Historic Environment
Inverness City Heritage Trust (ICHT) is seeking an organised, proactive and reliable Administration Officer to support the day-to-day operation of the Trust as we deliver an ambitious programme of heritage, regeneration and community projects across the city.
This is an excellent opportunity for someone who enjoys variety, takes pride in keeping things running smoothly, and wants to play a key role in a small but growing organisation dedicated to protecting and celebrating Inverness's historic environment.
The post is initially part-time (approximately one day per week), with the potential for increased hours as the Trust develops and new programmes are established.
About the Role
The Administration Officer will provide essential administrative, financial and organisational support to the Trust Manager and Board of Trustees.
You will help ensure the efficient running of the organisation by supporting governance processes, maintaining financial records, coordinating meetings, managing documentation and assisting with day-to-day administration.
Key Responsibilities
- Provide administrative support to the Trust Manager and Board.
- Coordinate meetings, agendas, papers and minute-taking.
- Assist with bookkeeping, invoicing and financial administration.
- Maintain organisational records, filing systems and compliance documentation.
- Support recruitment administration and HR record keeping.
- Assist with grant claims and funding documentation.
- Coordinate suppliers, procurement and office systems.
- Support event administration and logistics.
- Respond to enquiries from stakeholders, partners and members of the public.
- Help ensure the smooth and professional operation of the Trust.
About You
We're looking for someone who is:
- Highly organised and able to manage multiple tasks effectively.
- Experienced in office administration and financial record keeping.
- Comfortable using Microsoft Office and digital systems.
- Accurate, discreet and able to handle confidential information.
- Friendly, professional and confident communicating with a wide range of people.
- Able to work independently while contributing positively to a small team.
Desirable Experience
- Bookkeeping or finance administration.
- Charity, public sector or third-sector administration.
- Governance and board support.
- Experience working with grant-funded projects.
- An interest in heritage, culture, community development or the historic environment.
