The Adult Education Service is part of Coventry City Council. We provide a wide range of courses for Coventry residents age 19+ and much of our provision is targeted at people with the highest levels of need.
We offer long courses in English, maths, English for Speakers of Other Languages (ESOL), ICT/Digital and vocational subjects such as Early Years, along with provision for adults with learning disabilities.
We also offer a very wide range of short community courses in arts, crafts, music, dance, exercise, fitness and family learning. In addition, we run a highly supportive study programme for young people.
Our work-based learning offer includes Apprenticeships in the following subject areas:

We also provide courses for adults who are seeking work via the Council’s Job Shop.
Our main base is at Southfields Old School, CV1 5EJ, with provision delivered at around 25 other sites within Coventry, mostly in areas of highest need.

What is the job role?
Senior Administrator – 16–24 Study Programme
The role involves providing comprehensive administrative support for the 16–24 Study Programme, helping to ensure that learners, parents/carers, schools, colleges and staff receive the information and support they need throughout the learner journey.
Key responsibilities include supporting the EHCP process, maintaining accurate and up-to-date learner information and online documents, and coordinating EHCP reviews, meetings and related paperwork. The role also involves supporting the enrolment process, from initial enquiries and applications through to registration, ensuring that all required documentation is completed and records are maintained correctly.
The Senior Administrator would communicate regularly with learners, parents/carers, schools and colleges, including speaking directly with schools and colleges about learners, gathering relevant information and supporting the transition of learners onto the programme. They would arrange parent/carer meetings, learner meetings and other appointments, send letters and emails, prepare documentation and provide general administrative support.
The role would also involve supporting open days and other events, welcoming prospective learners and their families, helping with arrangements and providing information about the study programme.
Overall, the position is about coordinating and maintaining the administration of the 16–24 Study Programme, ensuring that learner records, EHCP documentation, enrolment, meetings, communications and day-to-day administrative processes are accurate, organised and completed on time. It requires someone who is highly organised, approachable, confident communicating with schools and colleges, accurate with information, able to manage confidential records and capable of handling several priorities at the same time.
This post is exempted under the Rehabilitation of Offenders Act 1974 and as such appointment to this post will be conditional upon the receipt of a satisfactory response to a check of police records via Disclosure and Barring Service (DBS).

You will be a confident communicator, comfortable discussing learners and their needs with schools, colleges and professionals, while handling sensitive information with care and confidentiality.
You will be proactive, reliable and solution-focused, with excellent attention to detail and the ability to manage different tasks and priorities. You will take pride in keeping records and documents up to date, organising meetings and supporting enrolment and EHCP processes.
