Role Overview
We are seeking a Supply Chain Executive to take ownership of purchasing operations, end-to-end logistics management, and inventory control for our Love Laura brand. Working within the supply chain framework set by the Supply Chain Manager, this role goes beyond transactional purchasing to encompass the full operational supply chain cycle- from demand forecasting and order placement through to inward freight coordination, customs clearance, warehouse intake, and ongoing stock management.
This is a broad operational role that requires both commercial purchasing acumen and strong logistics and inventory management capability. The Supply Chain Executive works closely with the Buying, Marketing, and Finance teams and reports directly to the Supply Chain Manager.
Key Responsibilities
1. Purchasing & Order Management
- Place and manage purchase orders with approved suppliers in line with demand plans, sales forecasts, and open-to-buy budgets
- Negotiate prices, payment terms, lead times, and minimum order quantities with existing and new suppliers within delegated authority levels
- Maintain accurate and up-to-date product, supplier, and order data within internal purchasing and stock management systems
- Manage the critical path for all orders from placement to delivery, proactively identifying and resolving delays
- Resolve invoice queries, purchase order discrepancies, and supplier disputes in a timely and commercially sound manner
- Support promotional planning by securing stock availability and reviewing post-promotion sell-through and margin outcomes
- Track open-to-buy positions and flag risks or opportunities to the Supply Chain Manager and Buying team
2. Inward Freight & Logistics Management
- Own the end-to-end management of all inward freight movements across sea, air, and road modes, liaising with shipping lines, freight forwarders, and couriers
- Select and book the most cost-effective and commercially appropriate freight solutions for each shipment, balancing speed, cost, and reliability
- Track all shipments from origin to warehouse intake, proactively resolving delays, vessel changes, or port disruptions and communicating updates to stakeholders
- Manage all import administration including customs entries, duty and tariff calculations, documentation accuracy, and full compliance with import regulations and HMRC requirements
- Monitor and record landed costs per shipment, including freight, duties, and handling, ensuring accurate cost allocation per product
- Manage carrier and freight forwarder performance, tracking KPIs such as on-time delivery, cost per unit, and claims handling; escalate persistent underperformance to the Supply Chain Manager
- Identify and recommend logistics process improvements and cost-saving opportunities, including consolidation, routing changes, and incoterm reviews
- Maintain up-to-date knowledge of international trade regulations, customs requirements, and changes to duty rates affecting the Love Laura supply base
3. Inventory Management & Demand Planning
- Maintain and manage optimal stock levels across the full Love Laura range, balancing availability, cash flow, and storage capacity
- Produce and maintain rolling demand forecasts at SKU level, integrating sales performance data, promotional calendars, seasonal demand patterns, and new product pipelines
- Manage replenishment planning, determining reorder points, safety stock levels, and order quantities to prevent both stockouts and overstock situations
- Monitor aged and slow-moving stock, producing regular analysis and making clear recommendations for markdown, promotion, or write-off action
- Provide weekly stock cover and inventory health reports to the Supply Chain Manager, Buying, and Finance teams
- Coordinate stock intake planning with the warehouse team, ensuring inbound volumes are communicated in advance and receipted accurately into the system
- Support range planning and exit strategies by providing data-led insights on stock positions, sell-through rates, and margin performance
- Manage seasonal stock builds and clearance windows, ensuring buying decisions are commercially sound and operationally executable
4. Supplier Liaison & Quality Compliance
- Maintain strong working relationships with Far East and international suppliers, ensuring agreed quality standards, timelines, and cost targets are consistently met
- Implement and follow the defined product compliance and quality check process to ensure all products meet required specifications prior to acceptance and despatch
- Manage the sample approval process, tracking samples against critical path milestones and coordinating feedback between suppliers and the Buying team
- Escalate supplier performance issues, quality failures, and compliance concerns to the Supply Chain Manager for strategic review and formal supplier management action
5. Reporting, Systems & Analysis
- Produce and maintain a regular operational reporting suite covering purchasing spend, freight costs and variances, stock cover, inventory health, and margin impact
- Analyse purchasing and logistics data to identify trends, risks, and commercial opportunities, presenting findings clearly to the management team
- Act as the day-to-day data owner for the purchasing, logistics, and stock management systems, ensuring data integrity and accuracy at all times
- Conduct regular supplier and range performance reviews based on sales data, margin analysis, and on-time delivery metrics, feeding structured insights to the Buying and Merchandising teams
- Work collaboratively with Buying, Merchandising, Marketing, and Finance on product selection, range planning, and forecasting activities
6. Process & Continuous Improvement
- Follow established purchasing, logistics, and inventory processes and proactively identify practical improvements within the operational remit of the role
- Support the Supply Chain Manager in implementing supply chain and logistics process improvements, system enhancements, and new ways of working
- Contribute to business continuity planning by maintaining supplier and logistics contingency information
- Carry out additional duties as reasonably required to support business growth
Essential Criteria
- Minimum 2–3 years’ experience in a procurement, purchasing, or buying role within a fast-paced commercial environment
- Hands-on experience managing inward freight with shipping lines, freight forwarders, and international logistics providers, particularly Far East supply chains
- Practical knowledge of import processes, customs documentation, duty calculations, and freight compliance
- Demonstrable experience managing stock levels, replenishment, and inventory reporting
- Strong analytical and numerical skills with the ability to produce clear, data-led reports and recommendations
- High attention to detail and strong organisational skills, with the ability to manage multiple priorities simultaneously
- Proficient IT skills including Excel (intermediate to advanced), Outlook, and Office 365
- Effective written and verbal communication skills
- Ability to work independently and as part of a cross-functional team in a high-growth environment
Desirable Criteria
- Experience negotiating directly with international suppliers on price, terms, and lead times
- Background in fashion, retail, or fast-moving consumer goods (FMCG)
- Experience with demand forecasting, open-to-buy management, or supply planning
- Knowledge of landed cost calculation and freight cost management
- Additional language skills beneficial for Far East supplier communication
- Experience with ERP, WMS, or stock management systems
- Understanding of HMRC import compliance and customs tariff classifications
Reporting Line & Scope
The Supply Chain Executive reports directly to the Supply Chain Manager. This role does not have direct reports and does not carry budget-setting or strategic supplier governance responsibilities. The postholder executes within supplier frameworks, cost parameters, inventory policies, and quality standards established by the Supply Chain Manager, and is accountable for the operational delivery of purchasing, logistics, and inventory management activities on a day-to-day basis.
