An exciting opportunity has arisen for a Band 4 Team Administrator to join our Community Specialist Perinatal Mental Health Service on a part-time basis (30 hours per week).
We are looking for a proactive, organised, and motivated individual to join our friendly administrative team, providing high-quality administrative support to a busy and compassionate multidisciplinary service. This is an excellent opportunity to develop your skills while working within a specialist mental health service that supports women and families during pregnancy and the postnatal period.
As part of the administration team, you will work closely with clinicians and colleagues across the service to help ensure the smooth running of day-to-day operations and contribute to delivering an excellent experience for our patients and stakeholders.
The successful candidate will have excellent organisational and communication skills, proven administrative experience, and the ability to work effectively in a fast-paced environment. You will be able to manage competing priorities, use your own initiative, and work both independently and as part of a team. Previous experience within a healthcare or patient-facing environment would be advantageous.
The post is primarily based at St Pancras Hospital (NW1 0PE) . However, you will also be required to provide cross-site support and cover at our locations in Enfield & Haringey (N9 7HD) and Cedar Place, North Finchley (N12 9RH) as required.
The post holder will provide an effective and efficient secretarial and administrative service within one of the service lines that form the Foundation Trust.
The postholder will need to demonstrate a high level of prioritising and organisational skills and be able to use initiative to develop office support systems as required, and to organise their own workload to meet Trust and local requirements, adjusting priorities as necessary in negotiation with the department and administration managers.
The job will involve liaison between colleagues at all levels, both inside and outside the Trust, as well as with service users and carers.
The postholder will be expected to identify threats to the service offered to service users or to the Trust and to contribute to improving systems and processes.
All administrative staff are expected to support the reception function by providing excellent customer service at all times

In order to meet the needs of the Trust you may be required from time to time to work at different locations to your normal place of work. This may mean that you are required to work at any location that fall under Barnet, Camden, Enfield, Haringey or Islington. The Trust reserves the right to require staff to work at such other places or locations as it considers reasonable and necessary on a temporary or permanent basis.
Supporting clinical staff with administrative functions such as liaising with stakeholders, sending emails & letters, answering the telephone, sending appointment text reminders.
Supervision of band 3 receptionists and oversight of band 3’s duties (when required).
Minute taking at weekly clinical MDT meetings and other team meetings.
Managing and updating the quarterly reports/spreadsheets.
Updating the administrative systems on the service’s crib sheet when required.
Monitoring and ordering stationary and other procurement.
Training/inducting new staff on admin processes.
Fire Marshal training and lead for building.
Managing service email distribution list.
Problem shooting with IT from BEH or C&I to support team members experiencing IT issues.
Reporting any concerns to the band 5 admin manager and completing InPhase when required.
