Job Role:
Riddle’s Court is a unique venue for exceptional events in Edinburgh’s Old Town. It is a versatile space, holding a wide range of events throughout the year from conferences to concerts, weddings, drinks receptions, corporate meetings to product launches, story-telling dinners to evening lectures, birthday parties to makers’ fairs and exhibitions. While the majority of events would be in Riddle’s Court, SHBT also hosts open days, parties, receptions, exhibitions and meetings in Custom House in Leith and there will be a requirement to assist with events in this location.
As the Sales and Events Coordinator, you will be working as part of a team under the supervision of the Events Manager but will have responsibility for managing events, from enquiry to delivery, in accordance with clients’ requirements, offering the highest standards of customer care at all times. You will work closely with the Events Team with respect to handling sales enquiries and the operations, preparation, organisation and delivery of events.
The Sales and Events Coordinator will be contracted to work 28 hours per week over 7 days. The actual hours worked will be flexible to accommodate events and will include weekends and evenings.
Ideal Candidate:
· Experience in event coordination, hospitality, venue hire, or sales.
· Able to problem solve and deal with a variety of situations as they arise in a positive and professional manner.
· Ability to remain calm and solution-focused in a fast-paced environment.
· Uses own initiative
Possesses excellent organisational skills and meticulous attention to detail
· Has a positive, "can do" attitude and is willing to get stuck in with all tasks
Is friendly and sociable, comfortable in a customer facing role
Has excellent communication skills
Key Responsibilities:
· Efficiently handle enquiries made by phone, email or in person
· Assist with viewings of the building
· Ability to listen to clients’ requirements and convert enquiries to bookings
· Ensure invoices are raised and issued and check that payments are received timeously
· Attend networking events and participate in events to promote Riddle’s Court
Meet and greet clients and ensure the smooth running of events on the day
Responsible for room set up and all event operations prior to and during events, including all AV requirements
Prepare and set up refreshments for meetings
Order and serve lunches in compliance with Food Hygiene regulations
Clear function rooms after events, keep bar area clean and tidy
· Oversee events from start to finish ensuring customer satisfaction at all times
· Coordinate event logistics, including room layouts, supplier arrangements, and event schedules, event documentation and operational briefs
· Support on-site event delivery and troubleshoot operational issues as they arise
· Maintain accurate booking records and CRM data.
· Identify opportunities to increase revenue through upselling and repeat business
· Prepare event checklists and risk assessments
Maintain a high standard of personal hygiene and presentation at all times
Be a trustworthy and honest individual in order to assist with cash handling and key holding
To be confident and responsible as securing the building at the end of evening and weekend events will be required.
Monitor booking pipelines and contribute to sales targets
Support marketing initiatives, networking events, and venue showcases.
Achieve venue revenue targets through proactive sales activity
As this is a physical role, there is a requirement to have the ability to lift, push and carry tables/chairs and other items regularly

Pay: Up to £25,000.00 per year
