Our modern practice offers an excellent environment for both patients and team members. We are now looking for a motivated and organised Lead Administrator & Patient Co-ordinator to join our reception team and play a key role in delivering an outstanding patient experience.
This is an exciting opportunity for someone who enjoys building relationships, leading by example, and ensuring the smooth day-to-day running of a busy dental practice.
The Hours
- 4 days per week (35 hours)
- 7:45am – 5:30pm with 1 hour for lunch
- We will also consider applications from candidates seeking 3 days per week (26.25 hours)
The Role
As our Lead Administrator & Patient Co-ordinator, you will be responsible for managing the non-clinical patient journey from initial enquiry through to completion of treatment. You will provide exceptional customer service, support our senior team, and assist in coordinating a small team of Patient Co-ordinators.
Key Responsibilities
- Supporting the senior team with administrative tasks and projects
- Providing day-to-day administrative support to patients and colleagues
- Managing the patient journey across all communication channels, including telephone, email, text messaging and social media enquiries
- Building strong, long-term relationships with patients through excellent service and communication
- Managing appointment diaries efficiently and accurately
- Explaining treatment payment options and processing payments
- Promoting and enrolling patients onto the practice membership plan
- Managing patient follow-up systems and daily administrative routines
- Maintaining accurate and up-to-date patient records in line with practice procedures
- Ensuring consistently high standards of customer care and administration
- Managing referrals, outstanding balances and open courses of treatment
- Liaising with dental laboratories regarding cases and appointments
- Reconciling daily takings
- Carrying out audits as directed by the Practice Manager
- Undertaking additional training and responsibilities as Information Governance Lead
About You
We are looking for someone who is professional, proactive and highly organised, with a genuine passion for delivering outstanding customer service. Our ideal candidate would have:
- Previous experience leading or supporting a team
- Excellent customer service skills and a patient-focused approach
- Strong administrative experience in a busy environment
- Excellent attention to detail and accuracy when working across multiple systems
- Outstanding organisational and prioritisation skills
- Excellent communication skills, both written and verbal
- A high standard of English grammar and spelling
- Good IT skills, including Microsoft Office and CRM/practice management software
- A positive, enthusiastic and professional attitude
- A smart and professional appearance
Experience in a healthcare, dental or clinical setting would be advantageous but is not essential.
