We are seeking an organised, professional, and resilient Receptionist to join our busy Criminal Defence practice. As the first point of contact for clients, police stations, courts, and external agencies, you will play a vital role in ensuring the smooth day-to-day operation of the office.
This is a fast-paced position requiring exceptional communication skills, the ability to prioritise competing demands, and a calm, compassionate approach when dealing with clients who may be experiencing stressful or sensitive circumstances.
Key Responsibilities
- Greet clients, visitors, and legal professionals in a professional and welcoming manner.
- Answer and manage a high volume of incoming telephone calls and emails.
- Take accurate messages and direct enquiries to the appropriate solicitor or team member.
- Book client appointments and maintain solicitors' diaries.
- Open new client files and complete client onboarding procedures.
- Maintain accurate client records using the firm's case management system.
- Receive, scan, file, and distribute incoming correspondence.
- Prepare and send routine legal correspondence and documentation.
- Liaise with police stations, courts, prisons, interpreters, and external agencies.
- Monitor shared inboxes and ensure urgent communications are actioned promptly.
- Process incoming and outgoing mail and courier deliveries.
- Assist with court listings and solicitor schedules.
- Ensure reception, waiting and meeting rooms remain tidy and presentable.
- Handle confidential information with discretion and in accordance with GDPR and firm policies.
- Provide general administrative support to solicitors and legal support staff as required.
Essential Skills and Experience
- Previous experience in a busy reception or administrative role.
- Excellent telephone manner and interpersonal skills.
