We have an exciting opportunity for an experienced IFA Administrator / Client Support Administrator looking for a new challenge.
This is a client-facing support role suited to someone who is highly organised, numerate, and confident communicating directly with clients and providers, with solid working knowledge of back-office systems and platforms.

As an IFA Administrator you will work alongside an aligned planner and be responsible for the same bank of clients. You will be;
- Working closely with financial planners and client banks
- Responding to email enquiries and liaising directly with clients on a daily basis
- Processing new business applications, tracking to completion
- Working on general client servicing queries & requirements
- Setting up new clients on internal systems and external platforms
- Preparing/sending documentation for clients appointments and meetings, including the production of annual planning meeting packs.
- Dealing with internal/client/third party queries efficiently
- Follow processes to ensure risk is kept to a minimum
- Assist in managing the annual review process
- Liaising with advisers, outsourced paraplanning partners, directors and third parties to ensure a smooth and compliant client process
- First point of contact for the office – answering the office calls,
- Client meeting preparation - greeting visitors to the office, preparing refreshments
- Dealing with the incoming and outgoing post
- Printing, copying, scanning, emailing, posting, faxing and binding relevant documents, saving emails/documents to the back office system
- Maintaining accurate client records at all times
- Providing support with various ad-hoc business projects
- Liaising with policy providers for policy details and obtaining policy illustrations.
- Ensuring all data entry is completed accurately and within specified timelines.
Prior Experience / Knowledge:
- Previous experience in a client support or administration role within an IFA, wealth management or platform environment.
- Strong working knowledge of Intelligent Office (iO) or a comparable back-office/CRM system.
- Practical experience using investment platforms, ideally Transact, Quilter and/or Wealthtime.
- Good understanding of the new business and servicing lifecycle for pensions, investments and protection.
- Familiarity with FCA regulatory requirements relevant to an administrative role in a regulated firm.

- Excellent verbal and written communication skills, with a confident, professional manner when engaging directly with clients.
- Highly numerate, comfortable working with figures, valuations and financial documentation with a high level of accuracy.
- Strong organisational skills with the ability to manage a busy, varied workload and prioritise effectively.
- A proactive, flexible approach — happy to support one planner as a priority while pitching in elsewhere when the team needs it.
- A strong work ethic, reliability and a genuine commitment to delivering excellent client outcomes.
- High attention to detail and a methodical approach to processes and record-keeping.
- A collaborative team player who is comfortable working independently and using initiative.

Pay: £26,000.00-£32,000.00 per year
