Job Description
We are seeking a highly motivated Residential Conveyancing Post-Completion Administrator to join our team. The successful candidate will play a crucial role in supporting our residential conveyancing fee earners and ensuring that all post-completion matters are dealt with efficiently, accurately and within required timescales.
This position offers the opportunity to work within a busy residential conveyancing environment, developing specialist knowledge and playing an important role in delivering outstanding service to our clients.
Key Responsibilities
Post-Completion Support
- Manage a caseload of residential conveyancing post-completion matters.
- Deal with all aspects of the post-completion process following completion of a residential property transaction.
- Submit and deal with Land Registry applications, including registrations, transfers and charges.
- Monitor applications and respond promptly to requisitions raised by HM Land Registry.
- Prepare and submit relevant SDLT returns and ensure evidence of submission is obtained and retained on file.
- Deal with redemption statements and ensure that lender requirements are satisfied.
- Obtain and review Land Registry documents and updated title information.
- Ensure undertakings and post-completion requirements are dealt with promptly and accurately.
- Liaise with HM Land Registry, HMRC, lenders, clients and other solicitors where required.
- Monitor outstanding post-completion matters and ensure deadlines are met.
- Identify and escalate any issues or delays to the relevant fee earner.
Client & Administrative Support
- Act as a point of contact for clients in relation to post-completion matters, providing clear and professional updates.
- Deal with routine correspondence and enquiries promptly and professionally.
- Ensure files are maintained in accordance with firm procedures and regulatory requirements.
- Ensure all post-completion documentation is accurately recorded and stored on the case management system.
- Maintain accurate records of applications, requisitions, SDLT submissions and other outstanding matters.
- Assist with file closures once all post-completion requirements have been completed.
- Record time accurately and assist with billing and financial administration where required.
- Maintain confidentiality at all times.
Compliance & Quality
- Follow the firm's residential conveyancing procedures and post-completion workflows.
- Ensure all work is completed accurately and in accordance with relevant legal and regulatory requirements.
- Maintain high standards of file management and record keeping.
- Identify potential risks, errors or delays and escalate these appropriately.
- Contribute to the continuous improvement and development of post-completion processes.
- Ensure client service remains a key priority throughout the post-completion process.
