Due to continued growth, we are looking for an Admin & Compliance Assistant to join our friendly team at our modern office in Lancing Business Park, West Sussex.
This is not your average administration role. We are looking for someone who enjoys solving puzzles, investigating issues and getting to the bottom of complex situations. About the Role
As our Admin & Compliance Assistant, you will play a key role in ensuring our customer service standards and compliance processes are maintained to the highest level. You will investigate customer complaints from start to finish, ensuring every case is handled fairly, professionally and in line with industry regulations.
The majority of complaints are managed via email, requiring excellent written communication and the ability to explain decisions clearly while remaining empathetic and professional. Occasionally, you may be asked to support the wider customer service team by taking over telephone calls where additional experience, conflict resolution or de-escalation is needed.
You'll receive full training on our internal systems and the compliance requirements of our governing body, enabling you to make confident, evidence-based decisions while maintaining the exceptionally high standards we expect.
What You'll Be Doing
- Investigating customer complaints thoroughly and impartially.
- Reviewing evidence and identifying errors, inconsistencies and trends.
- Producing professional, accurate and well-written email responses.
- Working closely with internal departments to gather information.
- Resolving complex customer issues with confidence and empathy.
- Supporting colleagues with challenging customer interactions when required.
- Ensuring complaints are handled in accordance with company procedures and governing body regulations.
- Maintaining accurate records using our back-office systems.
- Assisting with administrative and compliance tasks across the department.
What We're Looking For
We're looking for someone who enjoys a challenge and isn't afraid to tackle difficult situations.
The ideal candidate will have:
- Previous experience in an office-based administration or customer service role.
- Exceptional attention to detail with the ability to identify mistakes and inconsistencies.
- Strong investigative, analytical and problem-solving skills.
- Excellent emotional intelligence and sound judgement.
- Experience handling complaints, conflict resolution and customer de-escalation.
- Outstanding verbal and written communication skills.
- Confidence making fair, evidence-based decisions.
- An outgoing, resilient personality that doesn't shy away from conflict or take customer frustrations personally.
- Excellent organisational and time management skills.
- Strong IT skills, including Microsoft Office (Word, Excel and Outlook).
- Confidence using technology and learning new software (full training on our back-office systems and company applications will be provided).
