About the Role
We are looking for an organised and reliable Production Administration Assistant to support the day-to-day administration of our busy manufacturing operation.
This is a varied, process-driven role that plays an important part in ensuring customer orders move smoothly through the business. You will support the production, purchasing and administration teams by accurately processing documentation, maintaining business systems and helping keep our operations running efficiently.
This is a permanent part-time position (20 hours per week), with flexibility to work additional hours during busy periods or to provide holiday cover when required. As the business continues to grow, there is genuine potential for this role to develop into a full-time position.
Key Responsibilities
Sales & Customer Administration
- Process customer sales orders accurately within Sage and Microsoft systems.
- Prepare and issue customer invoices.
- Produce delivery notes and associated customer paperwork.
- Answer incoming telephone calls and direct enquiries appropriately.
- Assist with general customer administration as required.
Purchasing & Supplier Administration
- Raise purchase orders for materials and consumables.
- Assist with internet ordering of standard products and consumables.
- Liaise with suppliers regarding orders and deliveries when required.
Production Administration
- Print production paperwork and job packs for the shop floor.
- Prepare documentation for manufacturing and dispatch.
- Maintain production records and filing systems.
- Support the Production Planner and Operations team with administrative tasks.
Logistics & Transport
- Book transport with approved carriers.
- Prepare dispatch documentation.
- Ensure all delivery paperwork is completed accurately.
- Update delivery information within company systems.
Data Management
- Maintain accurate records using Sage, Microsoft Excel and other business databases.
- Perform routine data entry and data validation.
- Ensure company records remain accurate and up to date.
- Assist with reporting and spreadsheet updates when required.
General Administration
- Provide administrative support across the Operations department.
- Assist with holiday cover for other administrative roles where required.
- Maintain organised filing systems (both electronic and paper-based).
- Carry out general office duties to support the wider business.
Skills & Experience
Essential
- Previous administration experience.
- Excellent organisational skills with strong attention to detail.
- Confident using Microsoft Office, particularly Excel and Outlook.
- Strong keyboard and data entry skills.
- Good written and verbal communication skills.
- Ability to prioritise workload and manage multiple tasks.
- Reliable, punctual and dependable.
Desirable
- Experience using Sage (or similar ERP/accounting software).
- Previous experience within a manufacturing or production environment.
- Experience processing sales orders, purchase orders or invoices.
- Knowledge of transport booking or logistics administration.
