Job Overview
We are seeking a dynamic and organized Office Administrator/Receptionist to join our team! Duties
- Ensuring office set up is at a high standard
- Greeting customers
- Dealing with enquiries via phone, email and live chat – being responsible for the London inbox
- Registering customers for viewing and valuations – checking & scanning relevant ID and ensuring details are up to date and correct
- ID3 checking customers and adding their ID onto the system, as per written procedure
- Assisting with the viewings and valuations, when necessary
- Putting bids onto the back-office system, ensuring all details are correct, and assisting customers with bidding queries
- Keeping valuation rooms stocked up and tidy
- Supporting events
- Work with the facilities manager to arrange and oversee works with external contractors
- Oversee cleaner and contractor presence
- Unpacking and sorting deliveries
- Organising collections and deliveries with clients
- Responsibility over management of goods, ensuring location is updated upon arrival and dispatch
- Liaising with external contractors to organise repairs, reports & authentication when needed
- Creating customer paperwork, such as receipts and collection dockets
- Liaising with the logistics team on what items need to be posted and/or sent to the London office from Birmingham and vice versa
- Supporting other departments when needed, including auction day support
Requirements
- Proven experience in an office environment or administrative role
- Strong computer skills
- Excellent organisational skills with the ability to prioritize tasks effectively and multitask
- Exceptional phone etiquette and communication skills
- Familiarity with general office equipment such as printers, scanners, and phones
