Job Summary
As Admissions Officer, you will have shared responsibility for the smooth running of all elements of the pupil recruitment process from initial enquiry through to induction for Prep School through to Sixth Form. The role is crucial in delivering a professional Admissions journey for prospective students and parents, providing an excellent customer experience for both domestic and international applicants.
Responsibilities
Admissions Process and Administration:
- Act as the primary point of contact for all domestic and international enquiries (Parents/agents) and supporting the Head of Admissions with external relations.
- Support the end-to-end admissions process from initial enquiry to enrolment on the ISAMS system.
- Oversee the online enquiry and registration system, including registration payments, ensuring it runs smoothly and efficiently.
- Liaise with the fees department on collection of registration fees and deposits, fees paid in advance etc.
- Check and process all required admissions paperwork, including passport copies, birth certificates, school reports, and reference checks.
- Administer interview and testing set-up, including retrieval of CIA data.
- Prepare and issue offer letters, new pupil packs, and joining information (e.g. permissions, health forms).
International Admissions, Agent Liaison and Compliance:
- Working with the Head of Admissions to maintain regular communication with the overseas and UK agent network, processing applications and maintaining accurate agent activity records.
- Working with the Head of Admissions to cultivate and maintain strong relations with new and existing agents.
- Maintain a list of hot, cold, and warm agents, and record agent pipelines.
- Prepare and process Confirmation of Acceptance for Studies (CAS) paperwork for the visa lawyer.
- Prepare visa letters for short courses such as Summer School.
- Check educational guardian paperwork as part of the pre-CAS set-up (a new regulatory component of the visa process).
- Manage the International Agent Mailchimp content, prepping and sending mailings.
- Support the Head of Admissions with visa matters and school policy updates for Admissions and Guardian policies.
- Assist the Head of Admissions with UKVI student visa compliance, including CAS issuance and maintaining visa documentation records.
Assisting with Events and Trips (Domestic and International):
- Coordinate and project manage the school’s familiarisation agent visits.
- Coordinate arrangements for visits and tours by prospective parents and children, engaging with internal stakeholders to create an engaging experience.
- Support domestic events, providing admin and logistical support (e.g. Open Day and Sixth Form Evening).
- Prepare Marketing & Admissions collateral and gifts for overseas and UK visits.
- Assist the Head of Admissions with the booking of agent meetings for attendees to ALPHE and BBSW events using their appointment systems.
- Support the Head of Admissions and members of the Senior Leadership Team with domestic and international travel arrangements for attendance at education recruitment fairs.
Summer School:
- Primary contract for all Summer School enquiries, supported by Director of Operations and Head of Admissions relating to complex queries and new relationships.
- Provide support for families during their stay.
Reporting and Data Analysis:
- Assist the Head of Admissions with the extraction of data for analysis using iSAMs Admission module and the preparation of reports for the Board Committees.
Skills, Personal Qualities & Experience
- A working knowledge of the principles and practices of Customer Relationship Management
- A good educational track record and evidence of career development
- Track record of delivering excellent customer service
- Willing to attend Open Days and other School events
- Willing to work out of hours as and when school admissions functions occur
- Understanding of and commitment to Equality principles
