We're looking for an Administrator / Receptionist to join Redbridge Quits Smoking, our specialist stop smoking service based in central Ilford.
This permanent, part-time role is central to helping residents access timely, welcoming and high-quality support. You will provide a professional first point of contact and keep the team's referral, communication, appointment and administrative systems running effectively.
Providing a warm and professional first point of contact by telephone, email, text message and in person, taking accurate messages and responding sensitively to clients, partners and other professionals.
Processing referrals and maintaining accurate, timely records on QuitManager and other approved systems like Pharmoutcomes, including duplicate checks, referral allocation support, shared inbox management and appointment administration.
Supporting client communications, recontacts, feedback activity, meeting administration, minute-taking and routine administrative data-quality checks.
Supporting nicotine replacement therapy (NRT) postage, stock documentation, stationery and resource management, petty cash, receipts and invoice processes in line with local procedures.
maintaining strict confidentiality, information governance and safeguarding standards, and recognising when clinical, safeguarding or urgent matters must be escalated to the appropriate colleague.
By keeping referrals, records, communication and practical systems organised, you'll help more Redbridge residents access evidence-based support to stop smoking and improve their health.
We're looking for someone who is compassionate, organised and accurate, with strong communication and IT skills, the ability to manage competing priorities and the confidence to remain calm under pressure.
Experience in administration, reception, customer service, health or social care, or services supporting people with a range of needs would be valuable. You should be comfortable handling sensitive information, working as part of a multidisciplinary team and using digital case-management systems.
Working hours: 22.5 hours per week over three agreed weekdays, Monday to Friday, normally 9:00 am-5:00 pm. The working pattern will be agreed based on service needs.
