Overview
We are seeking a highly organised and diligent Maintenance & Inventory Clerk to support the effective management of our residential property portfolio. The successful candidate will play a key role in ensuring that all managed properties are maintained to a high standard, fully compliant with statutory requirements, and accurately documented throughout each tenancy cycle.
Primary Responsibilities
- Inventory reporting — Prepare comprehensive check‑in and check‑out inventory reports, including photographic evidence, condition assessments, and meter readings.
- Maintenance administration — Record and monitor maintenance requests, liaise with approved contractors, arrange access, and ensure timely completion of works.
- Routine inspections — Conduct mid‑tenancy inspections, produce detailed reports, and escalate any issues requiring remedial action.
- Compliance management — Maintain accurate records of statutory certificates (e.g., gas safety, EICR, PAT testing, smoke and CO alarms) and coordinate renewals in accordance with legal deadlines.
- Data and record management — Update internal systems, maintain digital files, and prepare documentation for landlords and senior management.
- Stakeholder communication — Provide clear and professional communication to tenants, landlords, and contractors regarding maintenance matters and property access.
- Viewing properties - attend viewings with potential tenants and landlords.
Skills
- Previous experience within a letting agency, property management, or facilities environment (preferred but not essential as training will be given)
- Excellent organisational skills and meticulous attention to detail
- Strong written and verbal communication abilities
- Proficiency with property management software and digital reporting tools (training will be provided )
- Ability to manage competing priorities in a fast‑paced environment
- Full UK driving licence
