Location: Office & Site Based
Contract: Full-time, Permanent (37.5 hours per week) or Part-time (Minimum 22.5 over 5 days), Permanent.
Salary: £25,000–£27,000 per annum (depending on experience)

As our business continues to grow, we are looking for an organised, proactive and professional Administrative Assistant to support the day-to-day running of the business. This is a varied role offering the opportunity to work closely with the Directors, supporting administration, project coordination, office management and the smooth running of the business.
The Role
This is a varied administrative role suited to someone who enjoys organisation, communication and supporting a busy team. You will be the first point of contact for clients and visitors while providing administrative and personal assistant support to the Directors and wider team.
Alongside your core day-to-day responsibilities, you will play an important part in helping the business operate efficiently. We are looking for someone with a positive attitude, plenty of initiative and a genuine willingness to get stuck in.
You will be someone who notices when something needs doing, identifies problems before they become issues, fills gaps and takes ownership of tasks without waiting to be asked.
Whilst the role has clear day-to-day responsibilities, we value people who look beyond their task list, take pride in their work and enjoy finding practical ways to improve how the business operates. Key Responsibilities
Administration & Office Support
- Provide day-to-day administrative support across the business.
- Maintain accurate digital and paper filing systems.
- Prepare letters, reports, meeting notes and company documentation.
- Update project records, spreadsheets and internal trackers.
- Monitor shared inboxes and ensure enquiries are dealt with promptly.
- Coordinate meetings, appointments and calendars.
- Order office supplies and maintain office resources.
- Assist with general office administration and ensure the office operates efficiently.
Reception & Customer Service
- Act as the first point of contact for Hawkins Builders.
- Answer incoming telephone calls professionally and direct enquiries appropriately.
- Welcome clients, visitors and suppliers.
- Respond to emails and general enquiries promptly and professionally.
- Manage incoming and outgoing post and deliveries.
- Deliver a friendly, professional first impression of the business.
Personal Assistant Support
- Provide Personal Assistant support to the Directors.
- Manage diaries, appointments and meeting schedules.
- Organise meetings and prepare meeting documentation.
- Arrange travel and accommodation where required.
- Track actions arising from meetings and follow up where necessary.
- Handle confidential information with discretion and professionalism.
Project & Operational Support
- Assist with project setup documentation and internal systems.
- Coordinate information between office staff, site teams, clients and suppliers.
- Maintain accurate project records and company documentation.
- Support the preparation of quotations, tenders and project documentation.
- Chase information from suppliers and subcontractors where required.
- Assist with maintaining company policies, procedures and compliance records.
- Support the smooth administration of domestic and commercial projects.
Finance & Bookkeeping Support
- Assist with day-to-day bookkeeping activities.
- Process purchase invoices and receipts.
- Categorise and reconcile business expenses.
- Maintain accurate financial records.
- Assist with tracking project expenditure.
- Support credit control activities where required.
- Liaise with external accountants and bookkeepers.
Office Coordination
- Liaise with suppliers, contractors and service providers.
- Coordinate office maintenance and equipment servicing.
- Help ensure the office environment remains organised, professional and well presented.
- Support the organisation of company meetings and events.
- Assist with additional administrative tasks that support the business.
Continuous Improvement
- Identify opportunities to improve administrative processes and office efficiency.
- Spot issues before they become problems and take appropriate action.
- Take ownership of tasks and see them through to completion.
- Proactively support colleagues by stepping in where additional help is needed.
- Suggest improvements to systems, procedures and ways of working.
- Contribute positively to the continued growth and success of Hawkins Builders.
What We’re Looking For
Essential
- Previous experience in an administrative, office support, customer service or similar role.
- Excellent organisational and time management skills.
- Strong written and verbal communication skills.
- Confident answering telephones and communicating professionally with clients, suppliers and colleagues.
- Excellent IT skills, including Microsoft Office (Word, Excel and Outlook).
- High attention to detail and excellent organisational skills.
- Ability to prioritise workload and manage multiple tasks.
- Professional, approachable and reliable.

Desirable
- Previous Personal Assistant (PA) experience.
- Bookkeeping knowledge or experience.
- Experience using accounting software such as Xero, Sage or QuickBooks.
- Experience working within a busy office environment.
- Experience supporting directors or senior management.
- Construction industry experience is welcomed but not essential — experience from any industry will be considered.
- Full UK Driving Licence.
