Job Scope:
Reporting to the Logistics Shift Manager, the Warehouse Supervisor is a visible, hands-on working supervisor responsible for the safe, accurate and productive day-to-day running of an operational area within a multi-client 3PL warehouse. Reporting directly to the Logistics Shift Manager, the role leads a small team whilst actively undertaking warehouse operational duties alongside colleagues.
This is not a desk-based supervisory position. The Supervisor is expected to remain fully engaged in operational activities including goods receipt, put-away, replenishment, picking, packing, stock control, loading, unloading and other warehouse tasks as required. The role combines leadership responsibilities with direct operational contribution, leading by example and ensuring standards are consistently achieved through active participation on the warehouse floor.
The Supervisor owns the accuracy and discipline of warehouse system transactions within their area and champions the standard processes that protect stock integrity and client service.
Core expectation: remain visible on the warehouse floor, set the standard, act quickly on issues and ensure every system movement accurately reflects the physical movement of stock.
Key Accountabilities
Visible floor leadership and team performance
- Maintain a consistent and visible presence within the warehouse, actively directing work and supporting the team throughout the shift.
- Allocate daily tasks and resources within the assigned area in line with priorities agreed with the Shift Manager.
- Set clear expectations for safety, quality, productivity, accuracy, housekeeping and professional conduct.
- Monitor individual and team performance against agreed KPIs; provide timely coaching, feedback and corrective direction where standards are not being met.
- Conduct effective shift briefs and handovers, clearly communicating workload, risks, priorities and outstanding actions.
- Actively undertake warehouse operational duties during the shift and work alongside the team to support workflow, productivity, service levels and customer requirements.
- Support the induction and practical training of new colleagues and confirm competence before employees work independently.
- Escalate attendance, conduct, capability or performance concerns promptly to the Shift Manager, providing accurate facts and records.
WMS, stock accuracy and inventory control
- Take day-to-day ownership of WMS accuracy within the assigned operational area, ensuring all receipts, put-aways, relocations, picks, replenishments, adjustments and despatch transactions are completed correctly and on time.
- Ensure physical stock location, quantity, status and identity match the WMS record at every stage of the process.
- Investigate stock discrepancies, failed scans, short picks, overages and location errors; identify root causes and implement or escalate corrective actions.
- Control access to stock adjustments and ensure all adjustments are authorised, supported by evidence and completed in line with procedure.
- Support cycle counts, stock takes and client investigations, producing clear and accurate information when required.
- Identify recurring system or process errors and work with the Shift Manager and relevant support teams to prevent recurrence.
Process ownership, quality and client service
- Champion and enforce SOPs, safe systems of work, risk assessments and client-specific operating requirements.
- Drive right-first-time performance across inbound checking, labelling, put-away, replenishment, picking, packing, quality checks, loading and despatch.
- Ensure inbound stock is received, checked, recorded and cleared from bays within agreed timescales, with exceptions clearly identified and escalated.
- Ensure picks and despatches are checked to the required standard, with particular attention to product, quantity, batch, condition, documentation and client-specific requirements.
- Respond professionally to operational queries and provide the Shift Manager with accurate updates on service risks, delays, non-conformities and recovery actions.
- Promote a client-first culture in which the team understands how operational accuracy and presentation affect customer confidence.
Safety, equipment and warehouse standards
- Maintain a safe working environment and ensure the team complies with statutory requirements, company policy and site health and safety standards.
- Complete regular floor checks and act immediately on hazards, unsafe behaviour, damaged racking, spillages, blocked routes or other safety concerns.
- Ensure MHE and operational equipment checks are completed, defects are reported, and unsafe equipment is removed from service.
- Maintain excellent housekeeping: aisles and locations clear, empty bins removed, shrink wrap and debris cleared, and broken pallets placed in the designated area.
- Ensure fire exits, pedestrian routes, loading areas and emergency equipment remain clear and accessible.
- Report near misses, incidents, product safety concerns, evidence of pests and non-conformities promptly and support investigations where required.
- Maintain required hygiene, cleaning and BRCGS standards and ensure relevant records are accurate and complete.
Continuous improvement and communication
- Use KPI results, operational observations and error trends to identify opportunities to improve safety, accuracy, productivity and service.
- Support practical continuous improvement activity and ensure agreed changes are understood, implemented and sustained by the team.
- Work collaboratively with other operational areas and internal departments to protect workflow and meet client requirements.
- Provide clear, factual and timely escalation to the Shift Manager when service, stock, system, staffing or safety risks cannot be resolved within the area.
- Complete operational records and any other reasonable warehouse duties required to support the shift.
Essential knowledge and experience
- Previous experience leading or supervising a small team in a fast-paced warehouse or logistics operation.
- Strong practical experience of warehouse management systems, stock control and system-led warehouse processes; experience of Access Delta is advantageous.
- Demonstrable understanding of inbound, put-away, replenishment, picking, packing, inventory control and despatch processes.
- Experience investigating stock discrepancies and maintaining accurate system and physical inventory records.
- Experience working to productivity, accuracy, quality and service KPIs.
- High level of attention to detail, with the confidence to challenge incorrect or non-compliant processes.
- Experience in a multi-client 3PL, e-commerce, groupage, pallet network, import or export environment is desirable.
- Counterbalance and/or VNA licence is desirable, subject to site requirements.

Role Scope:
The Warehouse Supervisor is a working supervisory role. Whilst responsible for leading and coordinating the team, the postholder is expected to spend the majority of their time within the operation undertaking warehouse duties and supporting operational activity. Supervisory responsibilities are performed alongside operational tasks rather than as a separate management function.
This job description outlines the principal responsibilities of the role. Duties and objectives may be reviewed and reasonably amended in line with operational and business requirements. The Supervisor is expected to work within delegated authority and escalate matters requiring management approval to the Logistics Shift Manager.
Working Hours & Package
Lives locally to Coleshill.
Full-time permanent role, working Monday to Friday on a rotating shift pattern of 06:00-14:30 and 11:30-20:00, with a 30-minute lunch break.
Flexibility is required due to the operational nature of the role, including occasional weekend support where necessary.
