Operations Coordinator (Property Maintenance & AI)
Location: Remote (UK), with occasional travel if required
Job Type: Full-time or Part-time (20–40 hours per week)
Salary: £30000–£35,000 per year (pro rata for part-time)
Contract: Permanent or 3-month temporary-to-permanent

SWK is building a technology-led property maintenance company. Rather than operating like a traditional maintenance business, we use AI, automation and modern systems to provide an efficient, responsive service.
We're looking for an organised, proactive Operations Coordinator to become the human link between our AI systems, customers and engineers.
The Role
This isn't a traditional office administration role. Our AI handles much of the repetitive work. Your role is to oversee the operation, make sure jobs keep moving, ensure customers receive excellent service and continuously improve the way our AI works.
Key Responsibilities
- Monitor and manage the daily maintenance schedule.
- Oversee AI-generated bookings, emails and customer communications.
- Rearrange appointments when engineers are delayed or unavailable.
- Speak with customers regarding appointments, updates and complaints.
- Coordinate engineers and subcontractors.
- Follow up outstanding quotations and ongoing jobs.
- Ensure engineers submit reports, photographs and job information.
- Monitor service levels and identify improvements.
- Help train and improve our AI by identifying mistakes and refining workflows.
- Ensure customers always receive a professional experience.
- Escalate operational or commercial issues to the Director when required.
What We're Looking For
- Excellent customer service and communication skills.
- Highly organised with strong attention to detail.
- Comfortable using computers and cloud-based software.
- Able to manage multiple tasks and prioritise effectively.
- Calm under pressure with excellent problem-solving skills.
- Experience in property maintenance, facilities management or field service is desirable.
- Experience with Microsoft 365, CRM or scheduling software such as Zoho would be an advantage.
