About the Role
Standard Security Services Ltd is an established independent fire and security company based in Blyth, Northumberland.
Due to a member of our administration team leaving to pursue a new career opportunity, we are looking for an experienced Service & Maintenance Coordinator to join our team.
This is a key position within our office, helping to coordinate our engineering team and ensuring Planned Preventative Maintenance (PPM), reactive service calls and associated works are effectively scheduled, managed and progressed.
We are particularly interested in candidates who have previous experience coordinating field-based engineers, PPM and reactive works within the fire and security, facilities management, electrical, HVAC, building services or another service and maintenance environment.
Key Responsibilities
The role will include:
- Scheduling and coordinating Planned Preventative Maintenance (PPM) visits.
- Scheduling reactive service calls and engineer attendance.
- Managing engineer diaries and allocating works efficiently.
- Prioritising urgent reactive calls alongside planned maintenance commitments.
- Reviewing upcoming workloads and planning engineer resources effectively.
- Liaising with customers to arrange appointments, site access and engineer attendance.
- Monitoring outstanding PPM visits and helping ensure contractual maintenance visits are completed within the required periods.
- Monitoring reactive works and progressing jobs through to completion.
- Responding to customer enquiries by telephone and email.
- Liaising closely with engineers regarding their daily workload, appointments and scheduling requirements.
- Maintaining accurate customer, site, asset and job information within Uptick, our digital service management platform.
- Reviewing completed engineer visits and ensuring digital job records are complete and correctly updated.
- Raising and progressing follow-on works identified during engineer visits.
- Assisting with quotations, purchase orders and invoicing administration.
- Using Microsoft 365, including Outlook, Word and Excel, as part of the day-to-day running of the department.
- Maintaining accurate digital records and documentation.
- Providing general administrative support to the wider team as required.
About You
We are looking for someone who is highly organised, confident and comfortable working in a busy service environment where priorities can change throughout the day.
The ideal candidate will have:
- Previous experience scheduling PPM, reactive maintenance or field-based engineers.
- Experience working within a service, maintenance, facilities or engineering environment.
- Strong organisational, planning and diary-management skills.
- The ability to manage and prioritise urgent reactive calls alongside scheduled works.
- The ability to plan workloads and make effective use of available engineering resources.
- A confident and professional telephone manner.
- Excellent customer service and communication skills.
- Strong attention to detail.
- Good working knowledge of Microsoft 365, particularly Outlook, Word and Excel.
- Experience using digital job management, service management or CAFM software.
- The ability to work independently while also being part of a small team.
- A practical approach to problem solving.
- The confidence to take ownership of tasks and see them through to completion.
Previous experience within the fire and security industry would be particularly advantageous but is not essential where a candidate has relevant service coordination experience from another engineering or maintenance sector.
Experience using Uptick would also be advantageous; however, training will be provided for the right candidate.
Working Hours
Monday to Friday: 8:30am – 5:00pm
Lunch: 30-minute unpaid break
Working Week: 40 hours
Contract: Full-time, Permanent
There is no regular weekend working associated with the position.
Salary
£27,000 – £30,000 per annum, depending on experience.
The salary offered will reflect the successful candidate's experience, particularly in relation to engineer scheduling, PPM and reactive maintenance coordination, service management systems and the fire and security industry.
