Role Purpose
As Apprentice Administrator, you will support both the administration and operational functions of the business. This includes helping with day-to-day office tasks, assisting with operational systems, and providing direct support to the manager. The role also forms part of your apprenticeship, so learning and development are a key focus.
Key Responsibilities
Administration Support:
- Filing, scanning, photocopying and data entry.
- Managing emails, customer telephone calls and correspondence.
- Keeping records, databases and documentation up to date.
- Supporting diary management.
Diary & Job Management Support:
- Transfer diary information from Excel into the Job Management System (JMS).
- Ensure accuracy when entering job dates, times and details.
- Updating clients on Cinergi’s attendance to their property
- Double-check data to avoid scheduling errors.
- Flag any missing or unclear information to the manager before entry.
- Update the JMS when changes or cancellations occur.
- Keep Excel sheets and JMS aligned.
- Daily checks on compliance H&S paperwork through JMS and report back to manager
- Assist Operations Administrator with service scheduling, with the view to take this over in the future..
- Generating new jobs in JMS as and when these come through from the sales teams.
- Shadow and assist Finance & Operations Director
Operations Assistance:
- Assisting the manager with task prioritisation and reminders.
- Handling ad-hoc requests and urgent tasks.
- Helping with communication across the team.
- Suggesting improvements to systems or processes.
Apprentice Development:
- Completing apprenticeship training tasks and assessments
- Applying training to daily responsibilities.
- Keeping a log of learning, challenges, and progress
- If joining as an apprentice, day release to college may be available depending on the course and provider
- Full training provided, with potential for long-term career progression
