We manage a portfolio of serviced accommodation properties across Edinburgh, and our office sits at the heart of our operations - coordinating bookings, guest communications, supplier relationships, and compliance. The role
As Office & Compliance Administrator, you will be the operational backbone of our Edinburgh office. You will work closely with the management team and coordinate across departments to ensure the smooth day-to-day running of the business. No two days are the same — from handling urgent guest queries to managing supplier invoices and keeping our properties compliant and licence-ready, you will need to be adaptable, efficient, and solutions-focused.
Key responsibilities
· Manage day-to-day office operations, including correspondence, scheduling, and filing systems
· Coordinate with management, housekeeping, Quality Checkers and Maintenance teams to support seamless property turnarounds
· Handle email, booking platforms, numerous applications and escalating issues where necessary
· Maintain accurate records including bookings, contracts, supplier information, and compliance documentation
· Assist with accounts administration including processing invoices, purchase orders, and expense reporting
· Support onboarding of new properties and service providers, preparing documentation and checklists
· Support the directors and Executive Manager on wider business compliance - maintaining data protection (GDPR), health & safety, and insurance records, carrying out AML checks as part of responsible letting, and helping keep company policies and registers up to date
· Monitor office supplies, property back stock, and coordinate with external service providers
· Prepare reports and management summaries as required
· Provide administrative support to senior management on an ad hoc basis
What we are looking for
· Proven experience in an office administration or operations role - property management or hospitality experience is a strong advantage
· Confidence managing compliance and regulatory deadlines - familiarity with short-term let licensing, gas and electrical safety, or fire safety obligations is highly desirable
· Outstanding organisational skills with the ability to prioritise and manage a varied workload under pressure
· Excellent written and verbal communication skills
· High proficiency in Microsoft Office (Word, Excel, Outlook); experience with property management or booking software is desirable
· A calm, can-do attitude and strong problem-solving ability
· Meticulous attention to detail and a commitment to accuracy
· Ability to work independently as well as collaboratively as part of a close-knit team
· Discretion and professionalism when handling sensitive or confidential information
· Right to work in the UK
What we offer
· Salary of £25,000– £30,000 per year, dependent on experience
