Job Overview
Linia Skin Clinic is seeking a dedicated, organised, and patient focused Patient Coordinator to join our multidisciplinary healthcare team. This role is pivotal in delivering an exceptional patient journey from first enquirey through consultation, treatment, and follow up care. The successful candidate will act as the central point of coordination between patients, clinicians, and internal teams across skin, cosmetic surgery, and wellness services.
This position requires excellent administrative capability, strong communication skills, and the ability to manage multiple priorities in a fast paced clinical environment while maintaining the highest standards of professionalism, confidentiality, and patient care.
Key Responsibilities
- Act as the first point of contact for patients via telephone, email, and in person, providing a professional, welcoming, and supportive experience
- Respond promptly to enquiries and convert enquiries into booked consultations for skin, cosmetic surgery, and wellness services
- Schedule and manage clinician/therapist diaries to ensure efficient clinic flow and optimal utilisation
- Prepare clinics for doctors and therapist, ensuring rooms, documentation, and patient information are ready in advance
- Chaperone surgeons and clinicians during consultations and procedures in line with clinical governance requirements
- Maintain accurate and up to date patient records in accordance with GDPR, CQC standards, and internal policies
- Coordinate communication between patients, clinicians, and internal departments to ensure timely follow up and continuity of care
- Support insurance verification, billing processes, and collection of required documentation where applicable
- Manage administrative duties including data entry, filing, correspondence, and system updates using electronic patient record systems
- Assist with patient follow up, post treatment communication, and management of queries or concerns
- Support the wider clinical and operational team as required to enhance patient outcomes and service delivery
- Stock orders
- Monthly reports and end of days taking reports
- Be comfortable with featuring filing in social media photos or reels
Skills and Experience
- Previous administrative or office experience is essential, ideally within a healthcare or clinical setting
- Strong organisational and administrative skills with excellent attention to detail
- Confident and professional communication skills, both written and verbal
- Ability to work calmly and effectively under pressure while managing multiple tasks
- Compassionate, patient centred approach with a strong commitment to confidentiality and professionalism
- Proficiency office software and electronic health record systems
- Proficiency in Excel and reporting
- Ability to work collaboratively within a multidisciplinary healthcare team
- Fluent in English
