Job Overview
We are looking for an organised and proactive Secretary / Diary Manager to join our busy office supporting a team of Independent Financial Advisers (IFAs).
This is a varied role that combines administrative support, diary management, client communication, and general office duties. The successful candidate will play an important part in ensuring our advisers are well organised and our clients receive excellent service.
Responsibilities
- Managing advisers' diaries and scheduling appointments.
- Contacting clients to arrange annual review meetings and other appointments.
- Answering telephone calls and handling client enquiries professionally.
- Maintaining accurate client records and updating internal systems.
- Preparing and sending correspondence to clients.
- Assisting with general office administration and filing.
- Running occasional errands, including trips to the Post Office and local suppliers.
- Supporting with day-to-day administrative tasks.
- Liaising with clients and providers to obtain information when required.
Skills and Experience
- Previous experience in an administrative, secretarial, or office support role.
- Excellent organisational and time-management skills.
- Confident telephone manner and strong communication skills.
- Good attention to detail and ability to prioritise workload.
- Proficiency with Microsoft Office (Outlook, Word, Excel).
- Professional and friendly approach when dealing with clients.
- Ability to work independently with minimal supervision while maintaining a proactive approach to workload management.
Desirable
- Previous experience within financial services or an IFA practice.
- Knowledge of client management system Intelliflo
- Full UK driving licence.
