Job Summary
We are looking for an administrator to join our small, established financial planning firm and help us deliver the thoughtful, careful and highly personal service our clients expect. This is a great opportunity for someone who is organised, accurate, curious and keen to learn. Previous financial services experience is not essential; what matters most is your attitude, attention to detail and willingness to understand how a professional, regulated financial planning business supports its clients.
Once trained and settled, you will normally work from the office at least three days each week, alongside experienced administrators and the adviser. As your confidence grows, you will also have appropriate contact with clients, helping to make sure they feel informed, supported and well looked after.
In the early stages, you will spend time learning our systems, processes and the way different pieces of client work fit together. Financial Planning can feel like a detailed jigsaw puzzle and every client is different, so every jigsaw unique. We will support you as you build your knowledge, develop confidence and gradually take on more responsibility within the team.
What you will be doing:
- Helping us maintain the high regulatory and professional standards expected in a financial planning firm.
- Keeping clients updated on progress and answering straightforward administrative queries promptly, clearly and professionally.
- Contacting pension providers, investment platforms and other third parties to request information, documents and updates.
- Preparing documents, meeting packs and administrative summaries for client appointments, including work relating to pensions, investments and ISAs.
- Processing new business, client requests and ongoing changes, and tracking each case carefully until it is completed.
- Keeping client records accurate, complete and up to date.
- Preparing and managing routine emails, letters and administrative correspondence.
- Following up outstanding information when work is delayed, so that client matters continue to move forward.
- Helping to organise meetings, diaries and follow-up tasks.
- Supporting the wider team by keeping tasks, deadlines and priorities visible and well organised.
The work is structured, process-driven and important: Accuracy matters, but you will be shown how to do things properly and supported while you learn.

Full training will be provided. We are also happy to consider flexible working arrangements, including school-hour patterns, where these can be accommodated alongside the needs of the role and our clients.
Location requirement: You must be able to reliably travel to our office at HP17 8JB within approximately 30 minutes, as the role requires regular office attendance.
