At Emotio Design Group, we help businesses grow through branding, digital marketing, websites and technology. We've been delivering creative and strategic solutions for over 35 years and work with organisations ranging from SMEs to global brands.
We're looking for a highly organised and proactive Executive & Operations Assistant to become an integral part of our team.
This is a varied role supporting the day-to-day running of the business. You'll help keep projects moving, ensure important tasks don't get overlooked, and provide administrative support across operations, client services and executive management.

What you'll be doing
Executive support
- Managing diaries and calendars
- Booking meetings and appointments
- Organising travel when required
- Managing reminders and follow-ups
- Organising and prioritising inboxes
Proposal and client administration
- Chasing proposal reviews and approvals
- Tracking proposals and opportunities
- Preparing documents using company templates
- Sending standard client documentation
- Maintaining accurate client records
Project coordination
- Keeping project action lists up to date
- Chasing internal deadlines
- Scheduling project meetings
Office & business administration
- Maintaining company records
- Updating internal documents and templates
- Managing software subscriptions and renewals
- Ordering office supplies when required
Basic HR support
- Scheduling interviews and communicating with candidates
- Preparing onboarding paperwork
- Coordinating new starter and leaver administration
- Maintaining employee records
- Supporting recruitment administration
Light finance administration
- Entering supplier invoices into our database
- Liaising with our finance team
- Maintaining organised financial records
General support
- Researching suppliers and venues
- Booking hotels, restaurants and travel
- Taking ownership of recurring administrative tasks
- Proactively identifying and following up tasks that need attention
About you
You'll probably have experience as an Executive Assistant, Personal Assistant, Office Manager, Operations Assistant or Senior Administrator.
You'll also have:
- Exceptional organisational skills and attention to detail
- Excellent written and verbal communication
- The ability to manage multiple priorities confidently
- A proactive mindset with a willingness to take ownership
- Confidence working independently in a remote environment
- Strong Microsoft 365 skills, particularly Outlook, Word and Excel
- Experience using Microsoft Teams and other online collaboration tools
- Confidence using modern technology, including AI-assisted tools, to improve productivity
- The confidence to politely chase actions and keep things moving
Experience using CRM systems would be an advantage but isn't essential.

- Core hours between 10:00am and 3:00pm, worked over 4 or 5 weekdays
