The Junior Buyer is responsible for supporting the procurement team in the sourcing, ordering, and management of coffee machines, spare parts, cleaning chemicals, and related consumables. The role ensures products are purchased at the best commercial terms while maintaining required quality, stock availability, and supplier performance standards.
Key Responsibilities
Procurement & Ordering

Raise and manage purchase orders for coffee machines, spare parts, cleaning chemicals, and consumable products.

Monitor stock levels and place replenishment orders to maintain agreed inventory levels.

Expedite supplier deliveries to ensure continuity of supply.

Track order status and resolve delivery issues with suppliers.

Maintain accurate purchasing records within ERP systems.

Maintain Relevant business mailboxes and answer queries to ensure timely response times.
Supplier Management

Communicate with suppliers regarding quotations, lead times, deliveries, and product availability.

Obtain and compare supplier quotations to achieve best value.
-
Support supplier performance reviews and KPI tracking.

Assist with onboarding of new suppliers and completion of supplier documentation.
Inventory Management

Work closely with warehouse and operations teams to ensure stock accuracy.

Monitor slow-moving, obsolete, and excess inventory.
-
Support stock forecasting and demand planning activities.
-
Assist with stock count investigations and inventory reconciliations.
Spare Parts & Technical Products

Work with engineers and technical teams to identify correct part specifications.

Maintain parts catalogues and supplier databases.

Ensure critical spare parts are available to support service operations.
Cleaning Chemicals & Compliance

Procure cleaning chemicals and hygiene products required for coffee machine maintenance.

Ensure products comply with health, safety, and environmental regulations.

Maintain supplier safety documentation, SDS (Safety Data Sheets), and product specifications.

Support sustainability and compliance initiatives.
Commercial Support

Assist with supplier negotiations and cost reduction initiatives.

Prepare purchasing reports and spend analysis.

Support tendering and benchmarking exercises.
-
Identify opportunities for product standardisation and cost savings.
Key Skills & Experience

Proven experience in purchasing, procurement, supply chain, or administration.

Strong Microsoft Excel and ERP system skills.

Good analytical and numerical abilities.

Excellent communication and organisational skills.
