We are looking for an enthusiastic, driven and hard-working person to join our small, friendly team. You must enjoy working in a customer-facing role and be able to multi-task in a fast-paced environment. You need to be comfortable working alone, but also be a strong team player as we all help each other out when required.
We require someone for 1 and a half days a week (13 hours) - ideally a full day on a Monday and Thursday afternoon.
The job is a permanent position, subject to passing a 6-month probation period.
Practice Administrator Job Description
- Be the first point of contact for patients either face-to-face, via phone or email. Liaise with patients in a friendly and professional manner.
- Registering new patients onto our patient management system ensuring that all relevant details are collected and entered correctly.
- Making and changing appointments using our patient management system and responding to any queries patients may have about their appointments.
- Making sure all referred patients are contacted and appointments are made.
- Liaising with insurance companies and supplying relevant paperwork as requested.
- Use our integrated terminal to take payments for treatments and stock, recording this accurately on our excel spreadsheets.
- Reconcile the end of day reports across our 3 clinics.
- Send private patient invoices and receipts as required.
- Responding to tasks set by the physios to type, print and send letters and reports to various medical contacts.
- Opening and dealing with post and emails.
- Check NHS email system for any new NHS referrals, import to in-house patient management system and make appointments.
- Record data on various excel spreadsheets and update formula / formatting as required.
- Maintain shared worklist to ensure good communication between all office staff.
- Monitor and maintain records using our patient management system and Excel.
Person Specification
Skills Required – Please make sure that you have all the essential skills before applying for this job.
Desirable:
- Experience using TM3 clinic system or similar
- Experience in a similar reception/administration job role
- Experience working in a medical environment
Essential:
- Good working knowledge of MS Word and Excel (must be able to create tables / use basic formulas etc)
- Accurate typing skills with attention to detail
- GCSE English and Maths (Grade C / Level 5 or above)
- Excellent communication skills
- Friendly and personable
- Flexibility around working hours to allow for holiday / sick cover is an absolute MUST
