Job Description
Responsible to the Chief Executive, the Social Activities Organiser will be primarily responsible for organising, promoting and delivering the social activities programme for students at ELC in Brighton.
1. Social Activities at Palmeira Mansions:
- organising a weekly programme of social activities and excursions for students at ELC main school consisting of a minimum of four afternoons and two evening activities per week, expanding to three or four evening activities during the summer and a minimum of one full day excursion per weekend, usually Saturday.
- promoting the programme will involve a briefing to all new students on intake days, visiting classrooms, poster-displays, updating website, use of social media, etc
- sales to students of activities and excursion including those organised by external companies (eg Discovery Tours; UKStudy), maps, phonecards and bus cards.
- providing students with information on travel, local sports facilities, attractions, entertainment etc as well as general information about Brighton & Hove.
- assisting students with personal travel and leisure arrangements e.g. individual hotel bookings (not including hotels for students who choose this as their type of accommodation during their course), theatre bookings etc
- accompanying students on ELC activities mornings and afternoons as required.
- accompanying students on ELC activities in the evenings / at weekends as required, which will be in addition to your contracted hours and be paid at the Social Activities rates.
2. Social Activities at ELC Loxdale
- organising a separate weekly programme of social activities and excursions for our summer centre in Brighton, taking account of the ages of participants
- responsible for the Social Activities Assistant and Social Activities Leader at Loxdale
- assisting with selecting and interviewing potential social summer staff
- informing the Chief Executive of any additional salary payments to be made for summer staff
3. Group quotations
- suggesting social programmes and prices as requested by the CEO or Operations Manager for group quotations; arranging any activities and excursions when confirmed
4. Budgeting and accounting
- ensuring that activities and excursions make a surplus
- keeping accurate records of activities booked, bus cards sold, money taken, etc for the accounts team
- checking and authorising for payment all invoices relating to social activities (payment will be actioned by the accounts department)
5. Health & Safety
- maintaining up-to-date risk assessments for all social activities and liaising with the Chief Executive and Health & Buildings Manager over their assessment
- annually checking the risk assessments of external providers
- in the case of a critical incident, member of the School Emergency Management Team (SEMT)
6. Reception duties
- welcoming/processing new students on intake days
- greeting visitors, answering the telephone, dealing with student enquiries
- taking payments for social activities, bus passes and book shop
- cashing up at end of day
7. Other duties
- welcome students on Day 1, help with induction and tour of school and facilities
- on call duty weekends as part of duty rota (for extra remuneration)
- any other duties as directed by the Chief Executive.
