Role Overview
As Office Administrator, you will be a key part of our central support team, ensuring the smooth running of our office operations so that our care teams and clients receive efficient, reliable support. You will handle administrative and clerical tasks, support our staff, coordinate with different teams, manage documentation and maintain a positive, professional presence in our office.
Key Responsibilities
- Act as a first point of contact for telephone, email and office enquiries, maintaining a professional and welcoming environment.
- Lead recruitment and onboarding, including screening applicants, arranging and conducting interviews, preparing onboarding packs and ensuring all pre-employment documentation is complete and accurate.
- Conduct and maintain Right to Work and DBS checks, including monitoring DBS Update Service requirements.
- Maintain accurate and up-to-date staff and compliance trackers, including RTW, DBS, Training Matrix and Driver Tracker.
- Ensure employee and driver records are up to date, including passports, licences, insurance, DBS, RTW evidence and training certificates.
- Monitor expiry dates and follow up on outstanding or expired documentation.
- Support compliance, audits, record keeping and regulatory requirements.
- Complete ad hoc administrative tasks and projects as required by management.
- Work collaboratively with operations, care, finance and management teams to ensure smooth communication and efficient processes.
- Take a proactive approach, identify areas for improvement, suggest solutions and take ownership of tasks without always being instructed.
- Maintain confidentiality and ensure work is completed in accordance with GDPR, company policies and regulatory requirements.
Person Specification
Essential
- Previous experience in recruitment and onboarding.
- Practical experience conducting Right to Work and DBS checks.
- Previous experience working as an Administrator.
- Excellent attention to detail and strong organisational skills.
- Proactive, self-motivated and able to take initiative and work independently.
- A strong continuous improvement mindset, with the ability to identify and suggest improvements to processes and systems.
- Excellent communication and interpersonal skills.
- Good knowledge of Microsoft Office, particularly Word, Excel and Outlook
- Ability to manage confidential information appropriately.
- Flexible and willing to undertake ad hoc tasks as required.

Desirable
- Knowledge of CQC requirements and standards relevant to domiciliary care.
- Previous care sector or domiciliary care experience.
- Experience maintaining HR, compliance or staff trackers.
- Knowledge of GDPR and data protection.
