We are looking for an organised and conscientious Administrator to join our friendly practice team. This is a varied and rewarding role at the heart of our practice, supporting patients, clinicians and the wider administrative team with everything from medico-legal correspondence to patient registrations.
Duties include:
Medico-Legal Tasks:
Process GP reports and monitor payment
- Manage solicitor requests and Subject Access Requests (SARs) — preparing notes and copies of records within the mandatory period
- Process all third-party and private forms, reports and letters, including holiday cancellation forms, accident claim forms, DVLA forms, DWP forms and shotgun licence requests
- Arrange private medicals for HGV, PSV, DVLA, adoption and fostering purposes
- Raise sales ledger invoices
- Communicate with patients, solicitors and insurance companies by phone, email and in person
- Use the iGPR software system
Registrations and Deductions:
Register all new patients at the practice
- Reconcile incoming notes received from PCSE
- Enter data from new patient questionnaires
- Manage the deduction of all patients
- Retrieve paper medical records and return them to PCSE
- Reconcile all deducted patients note movement
- Download GMS3 forms from PCSE
- Upload GMS3 forms to the PCSE portal
Other Tasks
- Process all patient questionnaires returned in electronic format
- Manage the admin generic inbox daily
- Contact patients as necessary to book appropriate appointments
- Work closely with the practice management team and undertake various administrative tasks as delegated
You will be well organised, accurate and confident handling confidential information. Previous administrative experience is essential; experience within a GP practice or the wider NHS is desirable but not required, as full training will be provided. You will have strong communication skills, a professional manner, and the ability to manage a busy and varied workload.
