Job Summary
We are an established London-based commercial property developer managing a portfolio of commercial properties, multiple residential units, and an internal small-scale maintenance unit. We are seeking an organised, proactive Facilities Coordinator to oversee day-to-day facilities management, void property administration, office supplies, and subcontractor liaison.
Responsibilities
- Void & Commercial Property Administration
- Coordinate utility submissions (water, gas, electricity meter readings) during void periods and tenant transitions.
- Liaise with local authorities and business rates mitigation partners to manage vacant property relief.
- Support rent collection processes through administrative tracking, payment follow-ups, and handling ad-hoc fee records.
- Act as a key point of contact for external letting agents regarding property access, keys, and handovers.
Maintenance & Subcontractor Coordination
- Act as the primary operational link for our maintenance arm servicing our external customer site.
- Source, schedule, and oversee sub-contractors for general reactive maintenance and statutory safety inspections.
- Obtain quotes, issue purchase orders, and sign off on completed maintenance tasks.
Office Administration & Supplies
- Take end-to-end ownership of general office management, including ordering stationery, consumables, and office equipment.
- Maintain organised digital records of property compliance certificates, contractor insurance documents, and service agreements.
Qualifications
- Minimum of 3 year's facilities experience.
- Proven experience with a strong background in supervising technical or maintenance teams.
- Solid skills and ability to coordinate multiple tasks simultaneously while meeting deadlines.
- Leadership qualities with the ability to supervise staff confidently while fostering teamwork.
- Strong administrative proficiency (MS Excel/Word/Outlook), clear communication, and comfortable dealing with external agents and contractors.
- Excellent communication skills in English to collaborate effectively with team members, vendors, and stakeholders.
- High attention to detail, proactive problem-solver, and capable of prioritising tasks across multiple property assets.
Pay: £32,000.00-£35,000.00 per year
