Job Purpose
To provide efficient administrative and operational support to the Compliance Manager and Technical Services Managers , ensuring statutory compliance, accurate record keeping, and the smooth coordination of compliance activities across the Manchester Arndale Facilities Management Contract.
The role supports the delivery of safe, legally compliant, and well-maintained facilities by managing documentation, scheduling inspections, monitoring compliance deadlines, and liaising with internal and external stakeholders.
Key Responsibilities
- Provide comprehensive administrative support to the Compliance Manager.
- Maintain accurate compliance records, databases, and electronic filing systems using Vantify Risk
- Monitor and update compliance trackers for statutory inspections, certifications, and maintenance activities.
- Schedule and coordinate compliance inspections, audits, servicing, and contractor visits.
- Ensure compliance documentation, including certificates and reports, is received, reviewed, and stored appropriately.
- Assist in preparing reports, performance dashboards, and compliance data for management meetings.
- Liaise with contractors, suppliers, site managers, and internal departments to coordinate compliance works.
- Monitor contract documentation, insurance certificates, and accreditation records.
- Track corrective actions arising from audits and inspections, ensuring actions are completed within agreed timescales.
- Support the preparation of documentation for internal and external audits.
- Maintain confidentiality of sensitive information and records.
- Respond to compliance-related enquiries promptly and professionally.
- Assist with departmental projects and continuous improvement initiatives.
- Carry out other administrative duties as required to support the Facilities Management team.

Person Specification
Essential
- Previous experience in an administrative or business support role.
- Excellent organisational and time management skills.
- Strong attention to detail and accuracy.
- Proficient in Microsoft Office, including Word, Excel, Outlook, and Teams.
- Experience maintaining databases and electronic filing systems.
- Excellent written and verbal communication skills.
- Ability to prioritise workload and meet deadlines.
- Professional approach with strong customer service skills.
- Ability to work independently and as part of a team.
Desirable
- Experience within Facilities Management, Property, Estates, or Compliance.
- Knowledge of statutory compliance requirements within facilities management.
- Experience using CAFM systems (e.g. Concept, Planon, Maximo, FSI, Vatify CAFAM, Vantif Risk or similar).
- Understanding of health and safety legislation.
- Experience supporting audits or compliance reporting.
