Job Summary
We are seeking a detail-oriented and proactive Office Administrator/Customer Service Representative to join our small team. The ideal candidate will play a crucial role by providing exceptional service to our clients and administrative support to our team helping to coordinate internal work flows, ordering materials, monitoring delivery times, updating customers on lead times and dealing with queries along with general office administrative duties.
This position requires strong organisational skills, proficiency in Microsoft applications, excellent numerical skills and outstanding communication abilities.
At 30 to 40hrs per week this role would be idea for someone with experience requiring flexible working hours.
Responsibilities
- Respond promptly and professionally to customer enquiries via phone, email, or live chat.
- Maintain accurate records of customer interactions through data entry systems.
- Assist customers with product or service information, resolving issues effectively.
- Collaborate with team members to ensure a seamless customer experience across all channels.
- Perform data entry tasks with a high level of accuracy and attention to detail.
- Communicate with suppliers building relationships and keep departments updated.
- Utilise computerised systems to maintain and update records efficiently.
- Provide support for customer order, enquiries and fulfillment.
- Provide support for basic financial tracking and reporting.
- Coordinating work flows.
- Monitoring work flow progress.
- Handle phone calls with professionalism, demonstrating excellent phone etiquette.
- Support team members with administrative tasks as needed, fostering a collaborative work environment.
Experience
- Proven experience in an administrative or organising role is essential.
- Proficiency in using Microsoft Office Suite and Google Suite applications is required.
- Strong organisational skills with the ability to manage multiple tasks effectively.
- Excellent verbal and written communication skills are essential for this role.
- A keen eye for detail and the ability to work independently as well as part of a team is crucial.
