Job Summary
We are seeking a dynamic and organized Office Manager to help two very busy Directors lead the daily operations of our office environment. This vital role ensures smooth administrative functioning, effective team management, and seamless communication across departments. The ideal candidate will be proactive, detail-oriented, and possess a passion for creating an efficient workplace that fosters productivity and positive morale. As the cornerstone of our administrative team, you will coordinate office activities, oversee clerical tasks, and support human resources functions which includes Health and Safety.
Responsibilities
- Manage day-to-day office operations to ensure a productive and welcoming environment for staff and visitors.
- Supervise administrative staff, providing guidance, training, and performance feedback to foster a high-performing team.
- Oversee clerical functions such as filing, data entry, correspondence, and inventory management using tools like Xero accounting software.
- Coordinate human resources activities including onboarding new employees, maintaining personnel records, and supporting employee engagement initiatives.
- Maintain effective communication channels within the organization through phone etiquette, email correspondence, and in-person interactions.
- Organize meetings, manage calendars, and prepare reports to support executive leadership and departmental needs.
- Ensure compliance with organizational policies and procedures while promoting a positive workplace culture.
Requirements
- Proven experience in office management or administrative roles with demonstrated supervisory responsibilities.
- Strong proficiency in Xero accounting software and general office tools such as MS Office Suite.
- Excellent communication skills with the ability to interact professionally with staff at all levels.
- Exceptional organizational skills with keen attention to detail and multitasking abilities.
- Prior experience in human resources functions including hiring processes, employee relations, and record keeping.
- Demonstrated supervisory experience managing teams within an office setting.
- Knowledge of phone etiquette and customer service best practices to handle internal and external inquiries effectively.
